Position Summary:

The Pursuit Coordinator supports the development and delivery of qualifications, proposals, and interview materials across all markets. This role assists Pursuit Specialists by managing overflow work, coordinating proposal logistics, and ensuring timely, high-quality deliverables. The Pursuit Coordinator collaborates with internal teams and external partners to gather content, maintain proposal documentation, and uphold brand standards. This position is ideal for a detail-oriented, proactive team player looking to grow within a dynamic marketing and business development environment.

Duties and Responsibilities:

  • Assist Pursuit Specialists in preparing responses to Letters of Interest (LOI), Requests for Qualifications (RFQ), Requests for Proposals (RFP), and Statements of Qualifications (SOQ)
  • Support proposal schedules by coordinating meetings, tracking deadlines, and distributing notes and action items
  • Help compile and format proposal content, ensuring compliance with RFP requirements and brand standards
  • Draft and edit non-technical proposal sections such as resumes, project descriptions, and company overviews
  • Maintain and update marketing databases, including CRM and ERP systems, with project and proposal information
  • Organize and archive proposal materials for future reference and reuse
  • Collaborate with the Creative Specialist to incorporate visual elements and ensure consistency in design
  • Proofread and edit documents for grammar, clarity, and consistency
  • Participate in strategy and planning sessions to understand pursuit goals and support execution
  • Actively develop content through writing and editing
  • Accurate use of corporate brand standards, templates, instructions, manuals, and documents
  • Provide general administrative support to the pursuit team as needed
  • Other projects and responsibilities may be added at the company’s discretion

Special Knowledge, skills and abilities:

  • Strong organizational and time management skills with the ability to manage multiple tasks
  • Proficiency in Microsoft Office applications and the Adobe Creative application InDesign
  • Understanding of proposal and procurement processes preferred
  • Experience with Client Relationship Management (CRM) software preferred
  • Excellent written and verbal communicator with a strong grasp of grammar, punctuation, clarity, readability, and content consistency
  • Values building internal and external professional relationships
  • Positive, professional attitude, take pride in work, superior attention to detail
  • Collaborative mindset and ability to work effectively in a team environment
  • Excellent written and verbal communicator

Education and Experience:

  • Bachelor’s degree in Marketing, Journalism, Business Communications, or related field or equivalent relevant experience required
  • Minimum 1 year of proposal experience within the A/E/C industry (preferred)
  • Previous experience with grant writing or proposal writing for engineering, construction, architecture, or consulting preferred
  • Strong writing background

Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines. At times, bending, reaching, standing, and walking may be required.
