Job Description:

This role is open to internal candidates only.

Responsible for the performance and deliverables of the maintenance staff. In collaboration with the Director of Property Maintenance, ensures that maintenance personnel are provided with training, tools and skills to successfully perform their duties. Responsible for staff oversight, on-call scheduling, shift scheduling, work order completion, apartment readiness for leasing,, adherence to set budgets and providing reports. Directs team to maintain properties in good condition by applying best practices for routine, reactive, preventive and predictive maintenance techniques. Assists Director of Maintenance for all regulated inspections including CHFA, REAC and others. Leads by example to instill a positive customer service attitude in the maintenance team, maintaining an excellent rapport between Maintenance and Property Management.

 

ESSENTIAL DUTIES

  1. Upon direction from Director of Property Maintenance, ensures satisfactory performance of the maintenance technicians by providing appropriate direction, scheduling, training and oversight.
  2. Balances priorities of daily needs such as grounds maintenance and make-readies with long-term needs such as readiness for inspections and preventive maintenance.
  3. Ensures proper PPE is used in all activities and is responsible for maintaining a safe working environment. Assist Director of Property Maintenance in creation and implementation of safety and skills training program.
  4. Regularly provides reports to Director of Property Maintenance, Portfolio Managers, Site Managers and Director of Property Management on property condition issues, challenges and accomplishments. Participates in meetings with Portfolio and Site Managers to collaborate on property condition and make-readies.
  5. Responsible for managing the Facilities team to ensure the rent-ready condition of units prior to new resident move-in, including vendor management. Turns on average should take 5-7 days.
  6. Completes or tracks required documentation, including but not limited to work orders, purchase orders, inspection logs, preventative maintenance logs, SDS sheets and snow logs.
  7. Communicates unanticipated and anticipated expenses to the Portfolio Manager, Director of Property Management, and Director of Property Maintenance.
  8. By on-site periodic inspections, ensures that shop areas are kept in clean and orderly condition. Ensures common and MEP spaces are kept in compliance with regulations.
  9. On-call night and week-end work required as per schedule. Assist direct reports as needed.
  10. Distribute work orders for the assigned property portfolio to the appropriate Techs. Complete and close work orders in conjunction with site and portfolio managers.
  11. Initiates and ensures completion of all cyclical inspections, including semi-annual unit inspections, exterior and common area inspections, etc.
  12. Assists Director of Property Maintenance and Capital manager in budgetary recommendations for capital expenditures and assists in tracking annual operational budgetary expenses to ensure adherence to annual budgets.
  13. Periodically conducts key audits
  14. Performs special projects as needed
  15. Assists Director of Maintenance with vendor management and oversight
  16. Assist with punch walk, warranty and other development related procedures.
Qualifications:
  • Minimum of three (3) years in direct supervision of maintenance personnel
  • Minimum of three (3) years' experience managing departmental budgets.
  • Expert mechanical aptitude and problem-solving skills
  • Excellent interpersonal skills with the ability to effectively communicate and interact with all levels of personnel and the general public
  • Expert knowledge of HVAC, electrical, and plumbing repair and maintenance
  • Fluent in basic computer skills: Microsoft Office Outlook, Word, and Excel. Yardi experience a plus.
  • Successful completion of eight (8) hour OSHA traininG
  • Strong organizational skills
  • FMP certification preferred but not required.
  • Position requires the ability to sit, stand and lift up to 20 lbs.
  • Must be able to climb ladders of all sizes, access roofs, attics or crawl spaces
Additional Information:

This job has a starting salary of $85,000 - $95,000/year depending on experience.
