Grace Kids Coordinator Job Description



Grace Kids Team’s Purpose Statement: 
To partner with parents to help children discover who God is, embrace His great love for them and His plan for their lives.  This team will be working alongside the Students team to ensure children from infant to 12th grade is connected and supported throughout their childhood and teen years.


Grace Kids Coordinator’s Purpose Statement:
To create safe, welcoming, and engaging environments where kids can encounter God’s truth and love. This role ensures every classroom and ministry space is prepared with excellence - spiritually, relationally, and practically - so that volunteers can lead effectively and children are inspired to grow in their faith and understanding of God.


Grace Kids Coordinator’s Responsibilities:

  • Contributes to overall vision and direction of the Grace Kids team through collaboration with team members, participating in team meetings and specific ministry planning sessions as required.
  • Promotes environment of unity and mutual support amongst team members through fulfilling assigned role with excellence, encouraging and supporting one another’s success in every way, and contributing to the overall success of the Grace Kids team.
  • Works with the direction of the respective ministry leaders in Grace Kids to coordinate all supplies, materials, activities, etc. for weekend services in Grace Kids.
  • Attends and provides guidance, input, and direction at Grace Kids planning meetings (Service Planning Team, events, etc.).
  • Prepares environments for weekend services in Grace Kids.
    • Coordinates organization and overall appearance of all weekly Grace Kids environments working with the respective directors/pastors of these ministries.
    • Keeps all posted signage for kids and parents (i.e. signage displayed at check-in desks, outside Grace Kids rooms, etc.).
    • Coordinates with the Creative Team to have up-to-date slides for Grace Kids Check-in TV.
    • Works with Facilities staff and volunteers to ensure all environments are set and ready for ministry on weekends.
    • Oversees and manages check-in desks and schedules/cares for volunteer teams for all Grace Kids environments ensuring all supplies and equipment is available and prepared for check-in.
    • Oversees and manages prep and schedules/cares for volunteer teams. Gives directions for them to do their jobs successfully.
  • Conducts administrative duties, including, but not limited to:
    • Updates and maintains information in database (Grace Connect) for kids and their families. Includes yearly audit of records and promotions in the summer, transitioning kids to new environments, birthdays, etc.
    • Updates and maintains all statistics for all Grace Kids areas as required including attendance, new believers, special events, etc.
    • Reviews weekly attendance reports and makes updates to Grace Connect as needed.
    • Reviews notes taken at check-in desk during weekend services, makes changes to kid records as needed and sends other requests to respective staff members for follow-up.
    • Prepares and mails weekly cards to all kids and volunteers and other specialized announcements, flyers, birthday cards, or invitations.
    • Makes name tags for new volunteers.
    • Collects offering from Grace Kids offering boxes.
    • Manages the Grace Kids calendar and adds appropriate events to the Grace Connect calendar.
  • Collaborates with Grace Kids Team Lead/Elementary Director to review and make necessary changes to curriculum as needed for elementary-aged kids (CLIMB and Trek).
  • Works with the direction of the Grace Kids Team Lead/Elementary Director to coordinate all supplies, materials, activities, etc. for weekend services in all elementary areas (CLIMB and Trek).
    • Purchases and prepares all needed supplies for elementary large and small group activities.
    • Makes sure all needed supplies are easily accessible and organized for all elementary environments.
  • Assists with trainings in Grace Kids.
  • Assists Grace Kids team members on events as assigned by Grace Kids Team Lead.
  • Adheres to ministry budget.
  • Works with the Grace Kids Team Lead and other team members in providing vision and direction for all Grace Kids ministry special events as well as staffing/attending these events, including, but not limited to:
    • Grace Kids Xtreme
    • Lil’ Explorers
    • Fall Fest
    • Childcare for churchwide events when needed
  • Other responsibilities as assigned by Grace Kids Team Lead.


Position Requirements:

  • Proficient in various computer software: Outlook, Word, Excel, Publisher, PowerPoint, Office 365, etc.
  • The attitude to go above and beyond, to provide service and excellence in each area of administration
  • Ability to multi-task and complete tasks during interruptions
  • Communicate and demonstrate an attitude that is Friendly, Fast, Fluid, and Flexible.


Staff Requirements:

  • Be present for all Staff Meetings, unless sick or on vacation.
    • Typically held 1-2x/month on the same day/time so that you can plan accordingly.
  • Attend at least one weekend service every week. If you are unable to attend in person, watch online before returning to the office.
    • This will ensure that you are always aware of the vision and direction of the Lead Pastor and the Leadership Team.
  • Work “All Staff Required” or “All Staff Serving” services and events.
  • These usually fall on weekends such as Christmas, Easter, baptism services, and a spiritual campaign launch and/or celebration. While these are the typical services required, there may be more, which will be communicated with ample time to plan ahead.
      • All Staff Required Weekend – staff must be available to work all services during the weekend.
      • All Staff Serving Weekend– staff must be available to work at least one service during the weekend.
      • All Staff Required Event – staff must be available for the entirety of the event.
  • Volunteer for a ministry outside of your paid staff position.
    • Just as we ask every member of Grace to serve faithfully while also having a job, we must keep that standard as a staff. You may choose where to volunteer at your leisure and serve alongside your family/friends.


Measurable Goals: 

  • Kids environments are appealing, relevant, organized and prepared each week for ministry.
  • All essential materials and supplies are prepared and provided to staff and volunteer leaders as needed for ministry.

  • Grace Kids Team Lead


Hours Required: 
Part Time | 20 Hours*
*Required to staff at least 2 weekends a month
