Under general supervision, performs complex administrative support duties of a responsible, sensitive and confidential nature requiring considerable independence of action in support of high-level executives of the university.

This is a full-time, in-person position with a standard schedule of Monday through Friday from 8:00 am to 5:00 pm
Essential Duties:
Manages or assists in the management of multiple executives’ calendars.
Works closely with other university offices in coordinating the executives’ involvement in university events.
Oversee and/or coordinate events for Senior Vice President’s office, including arranging equipment and catering; sending invitations and managing RSVPs.
Coordinates and arranges for executives’ travel.
Compiles, prepares, and maintains background material related to meetings, events and travel; coordinates and tracks follow-up as needed.
Independently composes correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved.
Provides word processing, transcription of dictation, and processing of correspondence and e-mail.
Answers phones, greets visitors, and directs questions to appropriate offices for resolution.
Schedules and may attend meetings and conferences.
May provide back-up to other support staff in the Senior Vice President’s office; collaborates with other support staff in Senior Vice President’s office, engaging in strong teamwork to support the office and its executives.
May provide general office support in the absence of other administrative support staff, such as receiving and screening telephone calls and visitors, unlocking and locking main suite doors and other opening and closing duties, reviewing incoming mail.
Maintains files; completes requests, records, submits and tracks all purchase requests/vouchers.
Accurately compiles and prepares confidential data for reports, correspondence and presentations.
May assist the department with such support functions as conference room scheduling, classroom scheduling and preparation for meetings.
Professionally handles multiple priorities with accuracy, efficiency, confidentiality and outstanding customer service skills. Serves as contact and liaison with the community, various stakeholders, students, faculty and staff as well as all internal administrative offices.
Performs special assignments as requested by senior leadership or supervisor.
Desired Qualification:
Bachelor’s degree and five (5) years of executive-level administrative support experience; OR, nine (9) years of executive-level administrative support experience; OR any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Highly Desired Qualifications:
Demonstrated knowledge of University policies and procedures OR comparable knowledge and experience.
Skill in a wide variety of administrative functions including calendaring, scheduling, PowerPoint, and word processing.
Experience in dealing with a wide range of topics, including confidential and sensitive information.
Experience in having tact and diplomacy and in maintaining effective working relationships.
Evidence of effective communication skills.
Experience supporting high level executive positions.
