Summary

Assists with all tasks related to the execution of the payroll cycle, including verifying time sheet data, (un)paid time off applied, payroll processing, communication with managers, payroll onboarding/offboarding and employee file maintenance.  Ensures company compliance with payroll policies and procedures, as well as state wage and hour laws.  


Essential Duties and Responsibilities:


Payroll

  • Reviews PTO balances and all time card data each week to catch and communicate errors / discrepancies for managers to fix prior to payroll processing 
  • Works with all Managers to make sure time reporting is approved and accurate 
  • Processes weekly payroll for New York non-exempt employees 
  • Assists Payroll Manager in processing biweekly payroll for all employees and serves as backup to Payroll Manager for payroll processing 
  • Receives and handles employee direct deposit and payroll tax withholding  setup and changes 
  • Stays current on payroll system for best use of the software and to ensure effective company support 
  • Emails commission calculators to Sales Managers  
  • Works with Payroll Manager to set up or update any required garnishments 
  • Tracks all employee referrals from Onboarding, sends communication and tracks referral bonus forms  
  • Assists all employees with payroll related questions 
  • Assists all employees with Paylocity user account issues, accessing paystubs and year-end tax forms 

Onboarding

  • Sets up new hires in the HR & Payroll system once Onboarding is completed, communicates with employee and manager on time card setup and any pending documents  
  • Keeps all payroll-related filing up to date 

Other

  • Handles the termination checklist process and disables access in HR-related systems (company credit card and license monitoring system) 
  • Assists in all areas of the HR department as needed 


Requirements

Competencies:

  • Associate's Degree or some college preferred 
  • At least 2 years of Payroll experience 
  • HR experience is a plus 
  • Bilingual (Spanish) preferred 
  • Strong Microsoft Word and Excel skills
  • Experience with Paylocity is a plus 
  • Working knowledge of federal and state regulations for compensation, payroll, and HR documentation 
  • Extreme attention to detail with accuracy 
  • Ability to work accurately in a fast-paced environment 
  • Strong communication, organizational, and time management skills 
  • High ethical standards and the ability to maintain confidentiality 
  • Excellent verbal and written communication skills 
  • Character to thrive in a very dynamic and rapidly growing environment 
  • Responds promptly to requests for service and assistance. Understands the need for excellent internal service to all employees

Physical and Visual Activities:

  • On a daily basis, you must be able to remain stationary for long periods of time. 
  • Must be able to frequently communicate and constantly have visual acuity. 
  • Must be able to constantly operate computers and office equipment. 
  • Ability to sit for long periods of time, may occasionally stand and/or move about the building and/or reach, bend or twist.
