Job Summary:
Act as the first point of contact for all interactions with guests. Answer inquiries and provide information to the public, customers, visitors, job seekers, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization.
Supervisory Responsibilities:

Duties and Responsibilities:
- Project a pleasant demeanor and professional appearance and environment for guests.
- Greet client, visitors or guests and determine the purpose of each person(s) visit and direct or escort them to the appropriate person or location.
- Ensure any visitor not employed by the organization checks in and receives a Visitor Badge.
- Maintain company directory.
- Assist with executive and team member travel as needed (flights, lodging, transportation, etc.).
- Coordinate and distribute incoming mail to the intended team or employee.
- Perform administrative and clerical support tasks as needed.
- Assist with office calendars.
- Maintain receptionist and welcome areas.
- Assist with inventory orders for office supplies and refreshments for entire company.
- Coordinate monthly company-wide meetings and monthly lunches.
- Arrange meals for clients, vendors, executives, and team members when needed.
- Assemble and deliver new hire welcome baskets and gifts.
- Send birthday, anniversary, and thank you cards to employees, customers, and vendors as directed.
- Maintains confidentiality of sensitive information.
- Perform other duties as assigned.
Required Skills and Abilities:
- Direct relatable experience is preferred.
- Excellent verbal communication skills.
- Excellent interpersonal and customer service skills.
- A high school diploma or GED certificate
- Excellent communication, multitasking, and organizational skills
- An advanced understanding of computer programs, including Microsoft Word, Excel, and Outlook
- Basic understanding of administrative and clerical procedures and systems.
- Experience as a front desk receptionist or in an administrative role (strongly preferred)
Physical Requirements
The First Impressions Coordinator/Receptionist is frequently required to operate a computer and file and retrieve written and electronically stored documents. The physical demands include, but are not limited to, standing, sitting, walking, lifting, carrying, reaching, handling, kneeling, crouching, and bending. Clerical positions can be mentally challenging and require a great level of attention to detail.
Work Schedule
- Monday – Friday
- 8:00 am – 5:00 pm
- The First Impressions Coordinator/Receptionist is an onsite position and not qualified for remote work.
- The expectation of the role is to be on site during normal business hours.
