The Legal Administrative Assistant provides administrative and coordination support for all legal matters across the Energy Access Innovations (EAI) enterprise. This role is the primary liaison between internal stakeholders and external legal counsel, ensuring requests are routed appropriately, documents are submitted for review on time, and legal billing is processed accurately. While not a practicing attorney or paralegal role, this position is ideal for someone with experience in legal administrative functions who thrives in a fast-paced, high-growth environment. As a part of the Business Administration department, this position will also assist in meeting wider team initiatives by providing legal-related data for quarterly reporting and centralized documentation efforts. 

Key Areas of Responsibility 

Legal Counsel Coordination 

• Act as the primary point of contact for external legal counsel across all EAI entities. 

• Triage incoming legal requests and route matters to the appropriate attorney(s). 

• Track open legal issues and follow up on outstanding deliverables. 

• Maintain a log of legal requests and completed matters for executive reporting. 

Contract Management 

• Prepare, review (for completeness), and coordinate signature of contracts using attorney approved templates. 

• Route contracts and documents for internal approvals as required. 

• Ensure final executed copies are stored in our centralized documentation repository. 

• Track and manage key contract milestones (renewals, expirations) and follow up with stakeholders. Legal Billing Management 

• Serve as the internal point person for receiving and processing invoices from outside counsel. • Allocate legal fees by entity, department, or project as appropriate. 

• Maintain organized billing records and ensure timely communication with the AP team.

• Assist with compiling legal billing data for inclusion in quarterly legal cost reporting. Legal Documentation Support 

• Assist in organizing materials for attorney review, filings, or board documentation. 

• Prepare summaries, correspondence, or simple form documents based on attorney input. 

• Maintain a legal request tracker and provide inputs for executive reporting.

Qualifications 

• 3+ years of experience in a legal assistant, contracts coordinator, or legal administrative role. 

• Experience working with outside counsel or within a legal department. 

• Familiarity with contracts and legal documentation workflows. 

• High level of discretion and professionalism handling sensitive information. 

• Strong written and verbal communication skills. 

• Proficiency in Microsoft Office Suite (especially Outlook, Word, and Excel). 

• Strong organizational skills and high attention to detail. Preferred Qualifications 

• Prior experience in a corporate legal department or finance-legal interface role. 

• Familiarity with legal billing practices or invoice management. 

• Understanding of contract lifecycle management systems. 

• Notary Public (or willingness to obtain).
