POSITION SUMMARY

The Office Manager & Hospitality Assistant is the first point of contact for A Good Egg Dining Group’s Headquarters. This position upholds A Good Egg Dining Group’s mission by welcoming guests, vendors, and AGE employees with Extreme Hospitality, always. The Office Manager & Hospitality Assistant supports AGE’s Leadership Team by coordinating assigned activities, including the upkeep of the reception and conference room areas, mail room, large purchases, office supplies, and facilities.


ESSENTIAL FUNCTIONS/ KEY RESPONSIBILITIES

  • Anticipates and welcomes all guests, employees, and vendors professionally and upon arrival with EXTREME HOSPITALITY.
  • Maintains office security by following safety procedures and controlling access via the reception desk.
  • Screens and guides visitors to the appropriate person and office.
  • Provides basic and accurate information regarding A Good Egg Dining and its restaurants, in person and via email.
  • Inventories, orders, and stocks cleaning and restroom supplies in accordance with pre-approved purchasing policies and budgets.
  • Assists in the coordination of seasonal restaurant and office projects such as holiday decor and specialty landscaping.
  • Manages all conference room calendars and schedules and sets up for meetings when necessary.
  • Ensures both conference rooms and all common areas are tidy and set to specifications.
  • Ensures the office kitchen is stocked and tidy and sink is clear of debris.
  • Ensures office restrooms are stocked daily and kept tidy and to company specifications.
  • Inventories, orders, and stocks HQ snacks and beverages in accordance with pre-approved purchasing policies and budgets.
  • Coordinates ordering and pick-up of various lunches, including monthly financials’ lunch.
  • Manages day-to-day office operations and maintenance items such as: lightbulbs, shredding, recycling, aesthetics, and general tidiness.
  • Inventories, orders, and stocks office supplies, furniture, and equipment in accordance with pre-approved purchasing policies and budgets.
  • Keeps updated records of office expenses and costs. Submits Corporate Amex reports according to prescribed deadlines.
  • Supervises and schedules maintenance appointments for office equipment including: copiers, fax machine, printers, water cooler, and shredding.
  • Collects restaurant collateral; requisitions and fills print orders.
  • Receives, sorts, and distributes daily mail.
  • Receives, records, and distributes UPS and FEDEX deliveries according to company standards.
  • Inventories, prints, and requisitions Manager Training Program materials and products. Keeps training office tidy, stocked, and organized.
  • Manages restaurant storage and mailbox areas, keeping them tidy and organized.
  • Assists in the editing and publishing of restaurant training materials during menu change, restaurant openings, and routine training material backfill.
  • Assists with other tasks related to large scale events and restaurant openings.
  • Participates as needed in special department projects, as delegated by AGE Leadership Team.

QUALIFICATIONS

This position is well suited for self-motivated individual with strong organizational and people skills, and a love of food, beverage, and hospitality.

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Solid written and verbal communication skills
  • A passion for EXTREME HOSPITALITY.
