Job Description

The Client Services Analyst plays a key role ensuring the successful delivery of our services to our clients. In this role, you will provide essential operational support to our account management team while serving as a reliable resource for clients’ employees. It is your responsibility to handle administrative tasks, coordinate with vendors and carriers, and work alongside other members of the benefits consulting team to help our clients succeed.

 

Practically speaking, the Client Services Analyst role encompasses a wide variety of activities. Aside from supporting issue resolution and client onboarding, you will be responsible for managing eligibility changes across carrier systems, maintaining projects in Asana, handling employee inquiries about benefits, and providing critical support during open enrollment periods. You will coordinate with insurance carriers, third-party administrators, and internal stakeholders to ensure seamless benefits administration.

 

To be effective in this role, you need to develop strong organizational skills and attention to detail while building working relationships with clients, carriers, and colleagues. Your systematic adherence to project management and enthusiastic approach to client support will ensure that nothing falls through the cracks, enabling our account management team to focus on strategic client relationships and business development.

 

Job Responsibilities



Issue Tracking and Resolution. Facilitate transparent communication between clients, vendors, and the internal team. Organize all work project management system, Asana, to ensure nothing falls through the cracks, providing stakeholders with real-time visibility into issue status and creating accountability for timely resolution across all parties involved.


Onboarding new clients. Help the account services team onboard new clients. Establish organized client folders, build detailed template projects in Asana, and systematically collect and catalog required client data. Coordinate with multiple stakeholders including carriers and third-party vendors, and ensure all administrative systems and carrier interfaces are properly configured before launch. Maintain detailed project timelines and checklists to guarantee nothing is overlooked during the transition from signed AOR to active client relationship.


Employee Support and Engagement. Serve as a direct resource for our clients’ employees, handling inbound calls and emails related to their benefits. Address claims issues and billing questions and provide clear explanations of benefit coverage and policy interpretations. Guide employees through enrollment processes, coverage changes, and life event modifications while ensuring accurate understanding of their benefit options. Collaborate with insurance carriers and third-party administrators to resolve employee concerns promptly.


Eligibility Management. Oversee the comprehensive management of employee eligibility changes, including new hire additions and termination processing across multiple carrier systems. Serve as the primary liaison between clients, insurance carriers, and benefit administration platforms to establish and maintain automated file feeds and data integrations. Develop and optimize eligibility workflows to streamline enrollment processes, reducing manual intervention while ensuring accuracy and compliance. Maintain working knowledge of various carrier platforms and systems to effectively troubleshoot eligibility issues and coordinate seamless data transfers between HR systems and insurance providers.


Open Enrollment Support. Provide essential behind-the-scenes support to internal team members during annual open enrollment periods. Assist with scheduling OE meetings, preparing client-specific materials and documentation, and maintaining detailed project tracking systems to keep all stakeholders informed of progress and deadlines. Strong attention to detail in supporting quality control efforts. Post-enrollment duties include enrollment reconciliation processes.

Education, Training, and Experience

  • Bachelor's Degree in Business Administration, Finance, Economics, Communications, Human Resources, or other related field or commensurate work experience.
  • At least two to four years of experience required, preferably in a client support role.
  • Previous employment at an employee benefits consulting firm, insurance agency, or financial services firm.
  • Knowledge of group insurance (medical, dental, vision & life and disability products).
  • Proficiency in the Microsoft Office suite of software. Experience with Asana, Box, Salesforce, and/or Craft is considered a plus.
  • Strong aptitude in project management, written and verbal communications, presentations, critical thinking, and financial analysis.
  • Commitment to the accuracy of own work product and client deliverables.
  • Must be able to follow directions, be detailed, organized and resourceful.
