About the Department

The Document Control Specialist supports the Metro Nashville Department of General Services’ Design and Construction Division by managing building-related documentation and maintaining accurate drawing and project archives. This role organizes and updates Revit and CAD drawing files, maintains baseline building plans, incorporates renovation changes, and archives construction project records. The position may also support light drafting work, create standard detail documents, and contribute to capital planning efforts by tracking and organizing cost metrics from completed projects.

Position Duties

  • Maintain and organize electronic and physical documentation, including Revit and AutoCAD drawings, construction specifications, and closeout materials.
  • Update and manage master baseline building plans to reflect minor renovations and space changes.
  • Coordinate with project managers, consultants, and contractors to obtain accurate and complete project documentation.
  • Develop and revise standard detail drawings, guideline documents, and templates as needed.
  • Perform minor drafting work for small renovation projects.
  • Document cost metrics and historical data from completed capital projects to support future budgeting and planning.
  • Organize and catalog cost and design data to improve project estimating accuracy over time.
  • Support document version control, standardized naming conventions, and compliance with Metro’s record retention policies.
  • Respond to internal requests for building layouts, archived plans, or past project information.
  • Assist with digitizing and archiving building records for centralized access and long-term storage.
  • Ability to update and interpret technical drawings

Minimum Qualifications

EDUCATION AND EXPERIENCE

High School Diploma or equivalent and eight (8) years of experience in one or more of the technical education areas listed to include architectural drafting, document management, or construction project support.

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

Other Qualifications

  • Associate degree in Drafting, Architecture, Construction Management, or a related field, or equivalent combination of education and experience.
  • Proficiency in Revit and AutoCAD, including the ability to navigate and update model file
  • Familiarity with Microsoft Office and file organization systems.
  • Experience developing standard architectural details and exhibits.
  • Exposure to construction budgeting, cost data, or estimating workflows, capital project cost components
  • Background in facilities management, construction documentation, or municipal project processes.
  • Experience with document management within capital project management platforms, specifically Oracle Unifier.
  • Strong organizational and file management skills with attention to detail and version accuracy.
