Staff Assistant II

Performs a variety of secretarial, clerical, and administrative duties. Works independently under the general direction of the immediate supervisor.





Position Duties

  • Provide administrative support for Natural Resources Department Staff.
  • Maintains and updates files, records, and reports. 
  • Communicates and interacts with the public and professional staff.
  • Receives, screens, and routes phone calls to appropriate staff. 
  • Performs multiple tasks simultaneously, such as answering phones, and documenting and communicating accurately both written and orally. 
  • Performs general administrative duties such as scheduling meetings, making appointments and taking messages, filing, and maintaining calendars/scheduling. 
  • Performs clerical and administrative tasks including operating general office equipment such as computers & associated peripherals, copy machines, scanners, voice recording equipment, phone systems, and radios.
  • Obtains/research information required to complete reports, letters, records, etc.
  • Obtains quotes from vendors and enters purchase order requisitions.
  • Assists with Boards and/or Committees as directed by the Department by managing agendas, print outs, and meeting minutes. 
  • Other duties as assigned.

Minimum Qualifications

Education/Experience: 

High school diploma or GED supplemented by technical training in office administration or related college courses, or an equivalent combination of education and related working experience in an office environment.

Licenses, Certifications or Registrations: 

  • Class E Florida Driver’s license.

KNOWLEDGE, ABILITIES AND SKILLS: 

  • Ability to understand and follow office policies and procedures. 
  • Good organizational and time management skills.
  • Ability to work in a fast-paced, time-sensitive environment 
  • Familiar with Microsoft 365, Microsoft Word processing, Excel spreadsheet, Outlook schedules/email, Access, and database computer programs.
  • Operate various office equipment supported with typing/keyboard skills.
  • Understand and follow oral and written instructions.
  • Analyze information and make judgment decisions.
  • Use a personal computer and various computer programs.
  • Maintain and update logs, files, and records with a high degree of accuracy.
  • Ability to take minutes.
  • Prepare correspondence and reports.
  • Effectively communicate, both verbally and in writing.
  • Effectively interact and establish working relationships with staff and the public.
  • Perform research of historical department documents with minimal oversight.
  • Proofread and make corrections.

Other Qualifications

ENVIRONMENTAL CONDITIONS: 

The successful candidate for this position can expect to be sitting at a workstation for long periods of time throughout the workday. The successful candidate should be able to lift/carry fifteen pounds of weight. The successful candidate may be required to perform occasional field visits which require them to traverse uneven terrain.
