The Back Office Licensed Practical Nurse (LPN) Supervisor will oversee the daily operations of the back-office staff, ensuring high standards of patient care and compliance with state regulations. The Licensed Practical Nurse (LPN) will provide essential patient care under the direction and supervision of a Registered Nurse (RN). This role involves supervising clinical staff, coordinating, and safeguarding patient care needs, and assisting in the management of clinical procedures within a healthcare setting.

MAJOR RESPONSIBILITIES
- Back Office Supervisor
- Supervise Back Office personnel (including Medical Assistants, Authorization and Referral Specialists, and Surgery Schedulers), providing professional and technical support to staff, and troubleshoot the delivery of patient care.
- Respond to requests from families and other concerned patients regarding patient care issues.
- Manage staff schedules to meet changing workload needs, time card processing, time correction, or PTO requests. Request coverage from Per Diem pool.
- As a working supervisor, performs daily functions including, but not limited to, rooming patients, turning over exam rooms, and sending out specimens, to ensure timely patient care.
- Conduct daily spot checks within the clinic and complete all necessary daily/weekly logs and assignment sheets. Complete clinic variance for all incidents that occur in the clinic by the end of day of the incident, sending complete forms to the Executive Director of Clinical Operations via interoffice mail, not email.
- Serve as the subject matter expert, mentor, and role model to employees. Demonstrate fair and equitable employment practices.
- Monitor and audit patient’s referral authorization, surgery schedulers, claim edit and Charge Review work queues for the clinic, ensuring all are completed in a timely manner. Ensure any STAT/Urgent requests are completed by the end of day.
- Perform quality measure audits and monitor dashboards.
- Participate in the recruitment process, including screening, interviewing and recommending applicants for hire.
- Perform evaluation of assigned staff, providing input regarding performance feedback.
- Collaborate with Back Office Clinic Supervisors and Clinic Administrators to manage and maintain physician templates.
- Perform administrative office functions such as attending meetings, composing and distributing routine correspondence (e.g., letters, e-mails, forms and faxes). Answer, screen, and direct telephone calls.
- Monitor the supply of medical equipment; purchase any necessary equipment through McKesson.
- Abide by Compliance and HIPPA guidelines. Ensure maintenance of patient privacy and protection of patient health information/confidential data.
- Provide EMR elbow support.
- IV Certified Licensed Practical Nurse (LPN)
- Provide high-quality patient care in accordance with established protocols and state regulations.
- Administer intravenous therapies, medications, and fluids, as prescribed by the physician and as allowed per Nevada State Board of Nursing.
- Monitor patients for adverse reactions or complications related to IV therapy, providing timely interventions as needed.
- Report any patient concerns to a Registered Nurse and/or Clinic Administrator immediately.
- Perform venipuncture and maintain IV access, ensuring adherence to infection control practices.
- Conduct comprehensive assessments of patients before, during, and after IV therapy.
- Document patient conditions, treatments, and responses accurately and promptly in electronic health records (EHR).
- Educate patients and families on IV therapy, medication management, and post-procedure care.
- Provide training and support to new staff regarding IV administration and best practices.
- Be prepared to respond to emergencies related to IV therapy, including anaphylaxis or fluid overload, following established protocols.
- Stay current with CPR and emergency response procedures.
- Functions effectively in a matrix management environment.
- Completes any duties and special assignments as requested.
EXPERIENCE, EDUCATION, AND CERTIFICATIONS
- Licensed Practical Nurse (LPN) licensure in the state of Nevada required
- Minimum of three (3) years of experience as LPN/LVN, Medical Assistant, and/or related field required
- Minimum of five (5) years of experience in a supervisory or leadership role preferred
- Graduation from an LPN Program, or equivalent, required
- Basic Life Support (BLS) or Cardiopulmonary Resuscitation (CPR) Certification required
KNOWLEDGE, SKILLS, AND ABILITIES QUALIFICATIONS
- Bilingual - Spanish preferred
- Advanced knowledge and understanding of nursing practices and the ability to work effectively under the supervision of an RN with the knowledge needed to perform procedures and follow regulations as outlined
- Advanced knowledge and experience of EHR systems. Epic EMR experience preferred
- Advanced knowledge of business methods including productivity, workload analysis, and scheduling
- Advanced knowledge of business principles including: planning, resource allocation, human resource concepts, operations and creation of policies and procedures
- Advanced knowledge of medical terminology, medical records and consent laws
- Advanced knowledge of the insurance industry and billing practices
- Proficiency in Microsoft Office and Google Suite
- Strong critical thinking and problem-solving skills
- Excellent verbal and written communication skills
- Must be able to work and promote teamwork and excellent customer service practices
- Must be able to effectively supervise and train staff, including prioritizing, organizing and scheduling work assignments
- Must be able to multitask and prioritize work in a fast-paced environment
- Must be able to maintain confidentiality and thorough knowledge of HIPAA policies and procedures
- Must be able to pay close attention to details
- Must be able to understand residency requirements and effects on scheduling
- Must be able to travel to various locations
