POSITION PURPOSE:    

The Admissions Processor reports to the Associate Director of Enrollment and plays a vital role in ensuring the efficient, accurate, and timely processing of admissions documents submitted by prospective students. This position is key in maintaining student records, facilitating the admissions process, and providing excellent customer service. As a primary point of contact for applicants, the Admissions Processor contributes to a seamless and positive admission experience for both students and the institution.

GENERAL DUTIES AND RESPONSIBILITIES: 

  • Receive, review, and process supporting documents such as transcripts, test scores, and immunization records submitted to the admissions office.
  • Clear holds and admit new or returning students to Navarro College.
  • Assist students with the enrollment process by providing clear guidance utilizing a strong understanding of each department.
  • Respond to admissions-related inquiries from students, staff, and the public. 
  • Manage the Admissions Office email account as needed.
  • Ensure timely and efficient processing of incoming documents.
  • Evaluate and process high school, homeschool, and GED transcripts.
  • Process immunization documentation, including records and exemption forms.
  • Process TSI, ACT, SAT, DD214, and College Bridge certificates.
  • Process tuition waivers and other related documentation.
  • Issue identification cards and parking permits to Navarro College students and employees.
  • Communicate with applicants regarding missing or incomplete documents. 
  • Provide coverage at the Welcome Desk as requested.
  • Uphold confidentiality and compliance with FERPA, college policies, and all applicable laws regarding student records and document handling.
  • Participate in enrollment events such as registration days, campus tours, or orientations. 
  • Deliver exceptional customer service to prospective students, families, faculty, staff, and external partners.
  • Input and update admissions applications for international students and applicants without Social Security numbers and serve as a Designated School Official.
  • Collaborate with the Registrar’s Office to review and resolve items on Discrepancy Reports.
  • Conduct training for new employees and provide periodic training for current staff.
  • Provide support to the Enrollment Specialist at other College locations as needed. 
  • All other duties as assigned.

 

KNOWLEDGE, SKILLS AND ABILITIES: 

  • General understanding of college admissions processes, student records, and enrollment procedures.
  • Familiarity with FERPA regulations and the proper handling of confidential information.
  • Knowledge of student information systems (e.g., Colleague) and CRM platforms.
  • Proficiency in Microsoft Office and standard office equipment.
  • Understanding of SEVIS regulations or willingness to obtain DSO status for processing international student admissions.
  • Strong data entry skills with accuracy and attention to detail.
  • Effective written and verbal communication.
  • Excellent customer service and interpersonal skills.
  • Strong organizational and time management skills with the ability to meet deadlines.
  • Problem-solving and decision-making based on established policies and procedures.
  • Ability to use computers and related software for data entry, tracking, and communication.
  • Work independently and as part of a team in a fast-paced environment.
  • Manage multiple tasks and responsibilities efficiently and in a timely manner.
  • Maintain confidentiality and exercise discretion with sensitive information.

POSITION QUALIFICATIONS:

Required:

  • High School Diploma

Preferred:

  • Navarro College alumni or has previously attended Navarro College
  • Associate’s degree in related field
  • Minimum of 2 years of experience in admissions or related office setting

WORKING CONDITIONS:

  • Busy working environment with numerous interruptions.
  • Ability to work seasonally in the evening and weekends during peak enrollment periods.

SALARY:  $23,744 annually (This is a 12 month position to be paid over 12 months)
