Rate $130,000 to $170,000 per year

Position Summary

The Facilities Director is responsible for the direct administration of full facility operations in accordance with all applicable local, state and federal regulations, including those that govern the skilled nursing facility. This includes management and oversight of the staff within the environmental services (EVS) and facilities sub-departments (i.e. collectively “the facilities department”).

Primary Responsibilities

Management and Planning:

  • Manage the facilities department to ensure proper/timely maintenance of the facility’s systems, physical plant, equipment, and grounds and oversee housekeeping/custodial activities.
  • Plan, develop, organize, implement, evaluate and direct the facilities department, as well as its activities, in accordance with all applicable state and federal rules, regulations and guidelines, including those that govern the long-term care facility.
  • Participate with the review of capital projects and with the oversight of vendors and contractors for facility renovation projects. Manages capital projects to ensure compliance with budgets and contracts.
  • Work with general contractors on various size construction projects and apartment renovations, troubleshoot atypical conditions and critically think outside normal parameters to resolve issues.
  • Manages service contracts. Coordinate and supervise a wide array of outside contractors and inspect their work in regard to: Electrical, plumbing and boiler contractors, phone systems, HVAC, Fire & Life Safety, Arborists, asphalt and concrete contractors, roofers, low voltage and communication contractors, generator/power systems, cable, Wi-Fi and internet connection companies and landscapers.
  • Develop and monitor department goals, objectives and budget. With the departmental supervisors, Chief Operating Officer (COO) and Chief Financial Officer (CFO), develop departmental budget, prioritizing expenses and identifying capital needs. Monitor expenses and maintain expenses within budget.
  • Ensure Environmental Services is on track with the day-to-day environmental needs including preventative maintenance, work orders, asset management tracking system and campus custodial needs ranging from waste management to activity set up requests.
  • Make written and oral reports/recommendations to the CEO and COO, as necessary/required concerning the operation of the facilities department.
  • Develop, implement and maintain Continuous Quality Improvement (CQI) programs for the facilities department.
  • Hire, train, supervise, and mentor all direct reports and ensure all functions (maintenance, housekeeping, and technical staff) are adequately staffed and trained.
  • Provide leadership, direction, performance review, training and development to sustain motivated and productive teams.
  • Manage employees in accordance with applicable state and federal regulations, The Redwoods policies and procedures, and collective bargaining (Union) agreements.

Safety and Sanitation:

  • Monitor department personnel to ensure that they are following established safety regulations in the use of equipment and supplies.
  • Ensure that department personnel follow established departmental policies and procedures, including appropriate dress codes.
  • Coordinate all fire and life safety repairs, audits, inspections, drills, and surveys. Responsible for the coordination and management of the physical plants preventative maintenance schedule and the asset management/work order tracking system.
  • Ensure that department personnel participate in and conduct all fire safety and disaster preparedness drills in a safe and professional manner.
  • Lead the cross-disciplinary Emergency Response Team (ERT).
  • Ensure compliance with OSHA Law and Regulations and work with Human Resources to ensure an up-to-date Illness, Injury and Prevention (IIP) plan is in place and followed.

Equipment and Supplies:

  • Direct and monitor maintenance, housekeeping, and laundry operations to ensure work is completed proactively and in accordance with Federal and State guidelines.
  • Develop and administer the facility’s preventive maintenance program, ensuring adequate maintenance of facility equipment.
  • Notify the COO and Director of Finance when capital repairs are needed.
  • Work in partnership with the Resident Council(s) to address concerns relating to the physical plant, equipment, and grounds.
  • Other duties as assigned based on scope of responsibilities.

Minimum Qualifications

  • A bachelor’s degree and/or a combination of education and experience, preferred.
  • 10+ years of experience in facilities management and supervision, and a minimum of 3 years as a manager of others.
  • A minimum of three (3) years of experience in facilities management and supervision, and a minimum of three (3) years as a manager of others.
  • Solid knowledge/understanding and/or experience with applicable building trades, including HVAC, plumbing, electrical, kitchen equipment repair, carpentry, painting, etc.
  • High level of knowledge/understanding and/or experience with building systems, including central plant operations, chillers, cooling towers, fire and life safety systems, emergency backup generators, steam and heating boiler operations, etc.
  • High comfort level with improving systems, analyzing data, and using data and metrics as management tools: proven ability to forecast accurately, manage to budget.
  • Hands on participatory leader, with exceptional problem solving, communications and management skills. Must be able to trouble shoot.
  • Proficient in computer and technology systems and in MS Office Suite applications (Excel, Word, PowerPoint, Project and Outlook).
  • Preferred: Proficient with asset tracking software/systems, work order and inventory programs and related.
  • Preferred: 10+ years of general contracting experience.
  • Facilities Management/Director level experience in skilled facilities (SNF/AL) highly preferred.
  • Must demonstrate excellent skills in reading writing, speaking and understanding the English language. Other languages a plus.
