POSITION SUMMARY:
Performs advanced administrative/technical support to the Sheriff’s Office Data Entry Services Unit. Performs clerical duties in the Landlord and Tenant section. These duties include, but are not limited to, data entry of Landlord Tenant court filings including incoming checks, money orders, and electronic transactions. Responsible for entering and preparing the deposit of monies daily and reconciles receipts and disbursements printouts. Requires frequent interactions with Howard County’s landlords and tenants providing resources and assistance regarding landlord/tenant questions or issues.
***This is a State Authorized Exempt position and is ineligible for membership in a collective bargaining unit.***
STARTING SALARY HIRING RANGE:
$21.55 - $24.31

CLASS DESCRIPTION:
Performs advanced technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves performing responsible clerical and secretarial work essential to the successful operation of a specialized function. Work may also include supervision of data entry staff and coordination and work scheduling of the data entry function. Work at this level may also include independent responsibility for a moderately complex clerical process.
Position Duties
Includes the following. Other related duties maybe assigned.
- Serves as a liaison for the Landlord/ Tenant section in the sheriff’s office Unit.
- Answers inquiries in person and by phone regarding, the Landlord/ Tenant Section’s protocols and procedures as well as the court procedures.
- Efficiently and accurately performs computer data entry of incoming Landlord/ Tenant documents and returns in a timely manner and uses systems appropriately.
- Prepares deposit of checks and/or money orders to Howard County Finance.
- Records and maintains receipts. Inputs receipts deposit validation numbers into the Landlord/ Tenant database- the Sheriff Management System (SMS)
- Assigns each incoming summons Landlord/ Tenant court filings to the corresponding deputy for service. Coordinate with Landlord/ Tenant deputies to ensure timely service of eviction notices.
- Responsible for mailing court-related correspondences, when necessary.
- Responsible for Mailing Landlord/ Tenant documents, including Tenant Rights information brochures by the end of each workday and any other important documents to tenants.
- Responsible for filing and maintaining records of Landlord/ Tenant documents
- Serves as a liaison between the Sheriff’s Office and Howard County District Court as well as other government departments. Communicates with District Court personnel regarding any discrepancies or issues. Schedule evictions promptly upon receipt of court documents, ensuring compliance with legal requirements and internal deadlines.
- Coordinates monthly scheduling of eviction orders. Retrieve and process faxes received from District Court such as incoming Stays of evictions/ Appeals.
- Receives and monitors stays of eviction court filings. Enter l Landlord/ Tenant court filings into the Landlord/ Tenant database in the Sheriff Management System (SMS)
- Conduct daily end of the day checks to ensure all tasks are completed and all data is accurately entered
- Efficiently and accurately performs computer data entry of incoming summonses, warrants, court orders, and protective orders in a timely manner and uses systems appropriately.
- Data entry of documents into METERS/NCIC, ILEADS/Records Management System, and PC data bases.
- Expungement of files, Validation and second checks of Warrants and Protective Orders, process checks for Peace Order service and enter into Records Management System and the Howard County Management system.
- Answering phones, confirming Warrants & Protective Orders and placing HIT Confirmations into NCIC/METERS.
- Various record keeping functions to include criminal records repository, summons service entry, ect.
- In depth analysis of complex computer systems such as Meters/NCIC, ILEADS, CJIS Central Square
- General administrative duties such as data entry, filing, etc.
SUPERVISORY RESPONSIBILITIES:
This position does not include supervisory responsibilities.
Minimum Qualifications
High School diploma or GED and four (4) years clerical experience, or equivalent combination of education and experience.
PREFERRED EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of and experience with Microsoft Office, Excel, Word, Outlook, METERS/NCIC.
- Ability to read and interpret documents such as; Warrants, Civil Orders, Domestic Violence, Protective Orders, Landlord Tenant documents, and other Court documents.
- Ability to write routine reports and correspondence.
- Ability to speak effectively with outside customers or employees of the Criminal Justice community.
- Ability to consistently follow a time schedule each day to meet daily requirements and deadlines.
- Must be comfortable working in a law enforcement setting in an administrative capacity.
