Summary of Position:
We’re seeking a detail-oriented and organized Permit Coordinator to support our Planning and Permitting team. In this role, you’ll research land use procedures, prepare and submit permit applications, track approvals, and maintain thorough project records. You’ll assist with due diligence reports, help organize meetings, and support a variety of planning projects, ensuring all tasks are completed accurately and on time. The ideal candidate is flexible, proactive, and skilled at juggling multiple priorities, with excellent written and verbal communication skills and a collaborative mindset.
Essential Duties and Responsibilities:
- Conduct research on land use procedures and permitting requirements.
- Assist with due diligence reports that outline submittal requirements, fees, and timelines.
- Finalize reports in line with company standards for formatting, grammar, and file organization.
- Help create permit application packages, including cover letters, forms, and assembling technical reports, plans, and other required materials.
- Submit permit applications to agencies, monitor the review process, coordinate responses to comments, and manage any necessary resubmittals.
- Follow up on final permit approvals by submitting final payments and delivering approved documents to clients and/or contractors.
- Maintain organized digital records of applications, permits, licenses, and related documents. Save and label all files according to company procedures.
- Support the Planning Department with special tasks such as organizing neighborhood meetings, managing public notices, and preparing visual exhibits.
- Participate in project meetings to stay up to date, receive assignments, and take meeting notes as needed.
- Perform general clerical duties including photocopying, plan printing, faxing and mailing.
Qualifications:

Education:
- A college degree or technical certification in regulatory permitting, environmental compliance, land use planning, real estate, engineering, construction, or a related field is preferred.
Experience:
- Familiarity with permit processing, site planning, land development, and land use planning.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Soft Skills:
- Strong attention to detail, concentration, and flexibility (to switch between multiple tasks quickly as needed).
- Excellent time management skills.
- Ability to prioritize a diverse workload, complete tasks, and meet deadlines in a fast-paced setting.
- Ability to write and communicate at a professional level.
- Ability to perform comprehensive research, analyze impacts, and summarize key issues in writing.
- Demonstrates strong communication and relationship-building skills to foster collaboration and teamwork.
Physical Requirements:
- Ability to sit (or stand) at a desk for 6-8 hours a day.
- Ability to work on a computer for 6-8 hours a day.
- Ability to lift up to 10lbs.
