Job Title: Background Check Specialist

Summary
The Background Check Specialist is responsible for supporting the background check investigation process by coordinating, tracking, and documenting all required background screening requests and results. This role ensures timely and accurate submissions while maintaining compliance with applicable policies, procedures, and regulations. The Background Check Specialist also conducts quality assurance checks and supports process improvement efforts to enhance efficiency and accuracy.
Essential Duties and Responsibilities
- Coordinate and manage the end-to-end background check process for new hires, volunteers, and contractors.
- Review background check documentation for completeness and accuracy before submission.
- Ensure timely submission of background checks to meet organizational deadlines.
- Document and track all background check requests and results in the appropriate systems or tracking tools (e.g., Smartsheet).
- Maintain accurate records and ensure confidentiality of sensitive information.
- Conduct regular quality assurance reviews to ensure compliance with internal policies and regulatory requirements.
- Communicate effectively with hiring managers, HR team members, and external vendors regarding background check processes and statuses.
- Assist in updating background check policies and procedures as needed.
- Provide support with audit requests and compliance reporting.
- Identify areas for process improvement and assist in implementing solutions.
- Other duties may be assigned.

Qualifications

Education and/or Experience
- High school diploma or equivalent required.
- Minimum of 3 years of related work experience, preferably in HR, compliance, or administrative support roles.
- Proficient in Microsoft Office applications, including Excel and Word.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, and the public. Bilingual is required (English/Spanish).
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentages.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should have knowledge of Microsoft Office, Excel.
Certificates, Licenses, Registrations
Valid Texas Driver's License
Have a record of tuberculosis screening showing the employee is free of contagious TB.
