ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Support HUSD Vision, Mission and Goals.
- Responsible for the overall monitoring and maintenance of all aspects of the attendance function at assigned location.
- Collects, records, and posts attendance using a (computerized attendance system) with an emphasis on accuracy. Documents all information regarding student absences called in to the attendance line for audit purposes.
- Ensures all students are accounted for on daily basis (elementary) or each period (middle and high school).
- Establishes and maintains accurate student attendance files. Maintains and submits SAIS data.
- Generates and formats attendance reports from the computerized attendance system as needed for administrators, the District, or State. Creates special reports from attendance data as requested by administrator, the District, or State.
- Responsible for data entry of student information and student registration. Generates reports for permanent student records as needed.
- Compiles and distributes daily list of excused and unexcused absences for teachers and administrators.
- Maintains lists of students out of class for authorized school activities, maintains daily check-out log of all students leaving campus, and log of students returning to campus.
- Confer with administrators on student attendance, excessive absences, etc.
- Responds to inquiries from students, parents and the general public regarding school attendance policies.
- Makes phone calls to inform parents of student absences. Answers phone inquiries. Prepares attendance correspondence.
- Generates truancy reports and notifications. Processes attendance withdrawals.
- Works cooperatively with other office staff, including the school nurse. Assists registrar when necessary (high school only). Attends meetings and trainings as assigned.
- Manipulates data from various reports, putting data in useable form for administrator, including such activities as disaggregating test data, compiling data from different reports into a single report, etc.
- Performs data entry and generates reports for student scheduling, report cards, and year end data verification as needed.
- Performs audit function of student actions entered by the registrar for accuracy and compliance.
- Assists other staff in front office as needed, either to cover needed functions or to assist in resolving problems.
- Positions at elementary and middle schools also perform registrar duties.
- Due to the nature of this position, and access to confidential information, it is absolutely mandatory that this position safeguard and maintain the confidentiality of the information stored and discussed in the Attendance and Administrative offices.
- Performs other duties as assigned.
QUALIFICATIONS AND REQUIREMENTS:
- Minimum High School Diploma.
- Three years clerical and record keeping experience required. Data entry experience required. Bookkeeping and/or accounting experience is strongly preferred.
- Experience using a student attendance record keeping program is strongly preferred; knowledge of school and district policies helpful.
- Ability to run system based reports, advanced proficiency with Microsoft Office Excel and Outlook, and willingness to learn new software.
- Ability to establish and maintain a positive rapport with students, parents, teachers and administrators.
- Ability to communicate effectively while maintaining tact and diplomacy at all times.
- Ability to maintain confidentiality.
- Ability to organize and prioritize work to meet deadlines with great accuracy and attention to detail while working with frequent interruptions and minimal supervision.
- Ability to pass background and reference checking as stipulated by District standards.
- Valid IVP Fingerprint Clearance Card.

The employee is regularly required to perform the following duties:
- Frequent communication with parents, students, and staff including the exchange of accurate information.
- Occasionally move about the inside of the office to access file cabinets, office equipment, etc.
- Constantly operate a computer and other office equipment.
- Must be able to remain in a stationary position at least 50% of the time either standing or sitting.
- Often raising objects from a lower to higher position, higher to lower position, or horizontally weighing up to 50 pounds.
- Occasionally required to position body by bending body downward and forward by waist.
- Required to have close visual acuity to perform activities including preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
TERM OF EMPLOYMENT: Full-Time Position, 11 Month, Monday - Friday, 8 hours a day.
SALARY CLASSIFICATION: Appropriate salary placement on the Classified Hourly Salary Schedule
EVALUATION: Performance of this job will be evaluated by the Administrator according to district policy.
TOTAL PAID HOLIDAYS: 15
