Job Summary As an Administrative Coordinator, you will be instrumental in maintaining the smooth functioning of our firm on a daily basis, guaranteeing optimal efficiency and top-notch service for our clients. Your duties will encompass coordinating various administrative activities, overseeing client communications, and offering assistance to both our advisors and team members.
A Day in The Life
Retirement Plan Responsibilities:
- Manage Salesforce for Producers, ensuring accurate data entry and maintenance.
- Provide administrative support to the Business Unit Leader.
- Schedule and coordinate meetings for the retirement plan team.
- Manage expenses related to retirement plan operations.
- Handle Larkspur Report Management, including generating snapshots as needed.
- Handle CPS (Copying, Printing, Scanning), mail services, printing, binding, FedEx, and faxing tasks.
- Organize, set up, and manage office meetings as required.
- Oversee the SIP for Oswald Financial.
- Prepare and distribute welcome kits for new clients or participants.
Wealth Management Responsibilities:
- Utilize Salesforce for effective management of client information and interactions.
- Schedule retail meetings for wealth management advisors.
- Coordinate participant meetings, including hotline calls, inquiries via info@oswald, and scheduling through platforms like Sign-up Genius.
- Manage expenses associated with wealth management activities.
- Handle CPS (Copying, Printing, Scanning), mail services, printing, binding, FedEx, faxing, and hotline tasks related to wealth management operations.
What You’ll Need
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and accuracy in completing tasks.
- Ability to handle multiple responsibilities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Previous experience in administrative roles within the retirement plan or wealth management industry preferred.
