ESSENTIAL DUTIES AND RESPONSIBILITIES


Essential duties and responsibilities include the following. Other duties may be assigned:


General functions:

  • Assist with customer invoicing and collections, utilizing phone calls, emails, and interpersonal communication to ensure that invoices are billed and collected in a timely manner.
  • Ensure customers are invoiced in accordance with the contractual requirements in place. 
  • Maintain a good follow-up system to ensure customers stay current on outstanding invoices.
  • Assist with vendor invoice processing and payments for all departments.
  • Review and process Credit Card Expense and Travel Expense Reports for accuracy and completeness.
  • Maintain and update process documentation manuals.
  • Participate in ongoing projects to improve processes, implement new controls, tools,   or systems.
  • Review and process purchase requisitions, ensuring accuracy and completeness.
  • Track orders, monitor delivery timelines, and resolve any procurement-related issues or discrepancies.
  • Collaborate with internal stakeholders across various departments to understand their procurement needs and provide effective solutions.
  • Ensure compliance with all relevant procurement policies, procedures, and regulatory requirements.

Other Duties & Responsibilities:

  • Identify risks and process improvement opportunities, and suggest solutions for improvements
  • Perform special projects as assigned 

Requirements

  • Bachelor’s degree in a business-related field such as business administration, finance and accounting, and a minimum of one (1) years of general accounting experience preferred. 
  • Crucial to successfully executing the job duties of this position requires attention to detail; proficiency in Microsoft Office products such as Excel, Adobe Acrobat, Word, PowerPoint, and other Cloud-Based Software applications. This position requires prior experience with Government contractors. Expert knowledge of advanced excel, macros, and pivot tables is preferred.
