Job Description 

Summary/objective

The Internship Coordinator is responsible for overseeing recruitment, interviewing, on-boarding, and tracking of Students 2 Science high school and college interns and participants in the S2S pre-apprenticeship programs. This position is part-time, on-site at the Apollo Technology Center. 

Essential functions

  • Develop and maintain comprehensive recruitment, orientation, training, retention, and recognition plan for interns and pre-apprentices. 
  • Maintain strong, positive relationships with collaborative partners ensuring that mutually agreed upon expectations are being met including higher education partners. 
  • Develop and maintain complete and accurate records including policies, procedures, position descriptions, standards of conduct and, where applicable, criminal background checks. 
  • Develop and maintain appropriate collateral materials for recruitment of interns.
  • Support the matching of students to internship opportunities, including regular communication with students and employer hosts and tracking student progress in the hiring database. 
  • Support the collection of employment verification documents for hired students, including reviewing documentation for accuracy, tracking submissions, and responding to student questions. 
  • Coordinate and execute orientation sessions for students on required program processes such as document submission, payroll procedures, and abuse prevention. 
  • Collaborate with the Director of the Career Advancement Program to lead student cohorts through career readiness programming including facilitating regular workshops and student group sessions, daily communication of student assignments, supporting volunteer engagement, and providing ongoing guidance to ensure students have meaningful engagement in programmatic activities. 
  • Work closely with S2S Development, Lab Operations and Operations teams to coordinate activities across cohorts, leverage resources, share best practices and support effective program delivery. 
  • Maintain a database of corporate internship sites, hiring managers and entry level positions available to S2S interns.
  • Coordinate and execute site visits to workplaces (primarily Summer).
  • Track program budget and expenditures.
  • Oversee all state and federal grant reporting requirements related to internship and workforce development grants. 
  • Participate in and/or lead all necessary recruitment and career fairs.
  • Participate in special projects and execute other assignments as assigned by the Chief Development Officer. 
  • Assist the Development Team on all fundraising initiatives relating to internship and volunteer programming. 
  • Must be available to adjust schedule to work on some mornings and evenings to support trainings and other events as needed. 

Competencies

  • Verbal, written and presentation skills. 
  • Ability to work independently and in team settings.
  • Ability to articulate ideas clearly and concisely; and effectively engage audiences.      
  • Strong proficiency in Microsoft Office products with emphasis on Word, Excel and PowerPoint.
  • Ability to work well with a diverse group of staff and volunteers.  
  • Willingness to adjust hours to accommodate the needs of the job. 
  • Ability to effectively manage a wide array of tasks, projects, and responsibilities.
  • Ability to work productively in an unstructured environment with frequent interruptions.

Physical demands

  • Ability to work a 20-hour work week in-person.
  • Ability to lift up to 50 lbs. 
  • Ability to sit and/or stand for extended periods of time.
  • Ability to travel to S2S Technology Centers and corporate, higher education and community partner location. 

Required education and experience

  • 3 years job-related experience, such as working in a non-profit, overseeing interns and/or volunteer programs. 
  • Bachelor's degree from an accredited college or university in a related field (e.g., human resources, business administration, education) and/or equivalent work experience.

Preferred education and experience

  • Relevant experience in recruitment, training, or program management.
  • Knowledge and experience working in Salesforce for volunteer management, preferred.
