GENERAL PURPOSE OF JOB to assist the Engineering Director and Maintenance Managers of all Woodloch owned and managed properties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- · Support and assist Woodloch Pines and The Lodge at Woodloch management team
- · Utility account tracking, trending & reconciliation. (Energy, Water & Sewer)
- · Capital project tracking and documentation – both active & future.
- · Active projects tracking – with emphasis on financial monitoring and invoice processing.
- · Attend project meetings and generate / distribute meeting minutes
- · Compliance and regulatory tracking of annual infrastructure certifications. (Fire Suppression Systems, Domestic Water System Back Flow, Labor & Industry (Elevator, Electrical Bonding, Boiler Certification), Liquid Fuels, Business Licenses, etc.)
- · PA One Call administration / tracking
- · Assist in the development of a cohesive property wide information archive to include architectural/engineering drawings, construction documentation, project photographs, etc.
- · Collecting and tracking Certificate of Insurance information from sub-contractors
- · Assist in the submittal & tracking process of Local & State permitting as related to capital improvement projects.
- · Other Duties may be assigned

Education And/ Or Experience / Other Requirements
- · Strong computer office & computer skills including Microsoft Outlook, Word, Excel, QuickBooks, and other related programs
- · Strong communication skills via phone, email, video conferencing, etc.
- · Demonstrate accuracy and thoroughness to ensure quality of work
- · Basic understanding or Facilities Operation and Construction Fundamentals
- · High school diploma or general education degree (GED); plus 5-10 years related experience and/or training; or equivalent combination of education and experience.
- · While primarily an office environment, some work in the field throughout all properties can be expected
- · May be required to travel between all Woodloch owned/managed properties and the local area as necessary.
- · Primary office location will be in the Pines Maintenance building, other locations may include the Lodge Maintenance office as well as the possibility from other remote locations
- · Valid Driver’s License
Language Skills Ability to read, analyze, and interpret technical procedure. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions.
Mathematical Skills/Reasoning Ability
- · Individual must possess strong organizational / planning skills
- · Basic accounting skills preferred

SCHEDULE REQUIREMENTS: Flexible hours between 7am and 6 pm and flexible days Monday thru Saturday
