JOB TITLE: Project Coordinator


OBJECTIVE:  Are you a highly organized, detail-driven multitasker who thrives in fast-paced environments? You’ll manage contracts, coordinate schedules, track budgets, and keep everything running smoothly — all while growing your career in an exciting, hands-on role. Essential Functions

Project Documentation & Compliance — 35%

  • Draft, review, and manage construction contracts, change orders, permits, and inspection scheduling
  • Organize and archive all project documentation for easy access and audit readiness
  • Track compliance milestones and regulatory deadlines


Coordination & Communication — 30%

  • Act as liaison among Project Managers, Site Superintendents, city officials, utility companies, and other stakeholders
  • Address field inquiries and resolve issues promptly or escalate when necessary
  • Facilitate building openings, inspections, quality control, and handover processes


Financial Monitoring & Administration — 20%

  • Monitor project budgets by verifying bills, invoices, and expense tracking
  • Collaborate with teams to ensure timely payment processing and adherence to financial protocols


Data Management & Process Improvement — 15%


  • Maintain accurate project data entry, updates, and reports in project management systems
  • Conduct research and analyze project metrics to support continuous improvements in project operations



Requirements

  

Education and Experience

Required:

  • High school diploma or GED equivalent
     
  • Valid driver’s license with reliable transportation to and from work
     
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
     
  • Working knowledge of Windows 10 Pro operating system
     
  • Excellent written and verbal communication skills, with strong interpersonal abilities to maintain professional relationships
     
  • Strong analytical and problem-solving skills
     
  • Effective time management with the ability to meet deadlines
     
  • Exceptional documentation management skills
     
  • Strong attention to detail and organizational skills
     
  • Ability to prioritize tasks and adapt to changing project and department needs
     
  • Self-motivated, dependable, and productive
     
  • Ability to work independently and collaboratively within a team
     

Preferred:

  • General knowledge of construction processes and procedures
     
  • Associate’s degree or higher in construction, business, or related fields
     
  • Working knowledge of QuickBooks and Adobe Acrobat X Pro

  • Strong Organizational Skills (30%)
    Efficiently manage multiple priorities, track deadlines, and maintain project documentation with precision to ensure smooth workflows and project success.
     
  • Microsoft Excel Proficiency (40%)
    Expert use of Excel including pivot tables, complex formulas, and advanced data manipulation to analyze project data, monitor budgets, and create detailed reports.
     
  • Heavy Data Entry & Accuracy (20%)
    Handle large volumes of data entry with exceptional accuracy, ensuring project records, invoices, and schedules are current and error-free.
     
  • Keen Attention to Detail (10%)
    Maintain a sharp eye for detail when reviewing contracts, change orders, inspection documents, and financial records to prevent errors and maintain compliance.
     

Physical Requirements

  • Ability to lift and carry up to 40 lbs.
     
  • Must be able to remain in a stationary position for at least 50% of the time
     
  • Clear speaking and adequate hearing sufficient to communicate effectively in person and via telephone
     

Special Requirements

  • Ability to work 45 hours per week during normal business hours (Monday – Friday)
     
  • Site visits and occasional travel required
     

Work Environment

  • Primarily a professional office setting
     
  • Frequent collaboration with project teams and all levels of company personnel
