Who We’re Looking For

Position Description: 

The Resident Services Associate will be based at the front desk and lobby of 8899 Beverly, a luxury high-rise residential community in West Hollywood. This position serves as the primary contact for residents, vendors, and guests, and provides a variety of administrative, hospitality, and support services to ensure efficient front desk operations.


Responsibilities

  • Greets and acknowledges every visitor, vendor, and resident in a professional and friendly manner.
  • Assists residents with processing work orders and other administrative tasks.
  • Assists residents with payment via the gateway kiosk/online portal.
  • Tracks residents’ packages and notifies residents of deliveries, including calls for perishable packages.
  • Utilizes the Front Desk Pass Down Log to keep co-workers aware of resident requests, messages, and visitors throughout the scheduled shift.
  • Is knowledgeable of the 8899 Beverly Front Desk Manual and executes the directives included within in a professional and courteous manner.
  • Ensures that the telephone is answered promptly and messages are handled courteously, accurately, and in a timely manner; all messages are written in the Front Desk Pass Down Log.
  • Reads and understands the HOA Rules and Regulations and assists with the enforcement of minor violations or noise/nuisance reports when the General Manager and Assistant General Manager are not on-site.
  • Emails the Assistant General Manager and documents any reservation requests in the Front Desk Pass Down Log so that Management can verify and confirm availability.
  • Performs additional duties as assigned by the General Manager or Assistant General Manager.

Requirements

  • 3–5 years of administrative experience.
  • Commitment to providing exceptional customer service.
  • Professional and friendly demeanor.
  • Associate degree or higher preferred.
  • Strong organizational skills.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Ability to work weekends and evenings.
  • Ability to work holidays if they fall on a scheduled day/shift.

Knowledge, Skills & Abilities

  • Excellent communication skills, both verbal and written.
  • Strong interpersonal skills with the ability to maintain professionalism in all interactions.
  • Ability to manage multiple tasks while maintaining attention to detail.
  • Knowledge of basic office procedures and front desk operations.
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook).
  • Ability to learn and use property management and package tracking software.
  • Strong problem-solving skills with the ability to address resident concerns effectively.
  • Strong Attendance and Commitment.
