About the role
The Patient Services Specialist serves as the first point of contact for patients and visitors, providing exceptional customer service and administrative support. This role is responsible for greeting patients and visitors to the practice, scheduling appointments, managing patient records, verifying insurance, handling inquiries, and ensuring a positive, smooth, and efficient patient experience. Job functions for this position include reception, appointment coordinator, referral specialist, unit coordinator, procedure/surgical coordinator, etc.
Responsibilities
- Greet patients and visitors in a professional and courteous manner.
- Schedule, reschedule, and cancel appointments using electronic medical records (EMR) systems.
- Verify insurance eligibility and benefits; collect co-pays and balances.
- Answer phone calls, respond to voicemails and emails promptly.
- Register new patients and update existing patient information.
- Maintain patient confidentiality and adhere to HIPAA regulations.
- Assist patients with forms and documentation.
- Coordinate with clinical staff to ensure timely patient flow.
- Resolve patient concerns or escalate issues as needed.
- Perform general office duties such as filing, faxing, scanning, and mail distribution.
- Maintain a clean and organized front desk and waiting area.
- Other duties as assigned by supervision.
Candidate requirements
- High School diploma or equivalent required; some post-secondary education strongly preferred.
- 1–2 years of experience in a healthcare, customer service, or front office role (preferred).
- Proficient in Microsoft Office programs and Electronic Medical Records (EMR) systems (e.g., Epic, Nextgen).
- Knowledge of medical terminology and insurance processes is a plus.
- Excellent communication and interpersonal skills required.
- Must have the ability to multitask and work in a fast-paced environment.
- Must have strong attention to detail and excellent organizational skills.
- Bilingual is a plus.
- Strong problem-solving and analytical skills required.
- Ability to work independently and as part of a team required.
- Strong organizational and time-management skills required.
Location & commitments:
Front Office/Patient Services at one of our practice locations.
Roles available: Full-time/Part-Time, Night and Weekend
Occasional overtime may be required to ensure tasks and/or projects are completed in a timely manner.
Supervision Received:
Reports to the Operations Manager/Director of Operations.
