We are currently looking for an Accounts Payable Specialist to join our Accounts Payable North America Finance team in Burlington, Ontario, Canada.
This is a full-time permanent position offering a competitive salary and company sponsored benefits.
The Accounts Payable Specialist position involves receiving, processing, verifying, and reconciling purchase orders to invoices, in preparation for payment. Primary support will be for Canada, but position will provide Accounts Payable support for Canada and U.S.A.
Duties & Responsibilities
- Complete matching process, from receipt of purchase order (PO), to invoice, and ultimately payment of expense in a systematic, accurate and timely manner to ensure timely payment of all vendor bills.
- Set up new vendors, including confirmation of proper insurance, tax form, open credit documentation.
- Resolve discrepancies between PO’s and invoices.
- Collaborate with company leaders and vendors, as necessary, to ensure accuracy of invoices being processed for payment by the company.
- Ensure all inventory items are properly entered and tracked in purchasing software, prior to invoice being entered for payment.
- Reconcile vendor statements and work with vendors to resolve any discrepancies.
- Invoice verifications for intercompany purchases and coordinate intercompany nettings and postings.
- Maintain accurate record of outstanding credits due to the company and collaborate with department leaders and external vendors as necessary to resolve outstanding credits.
- Familiar with both purchase order and non-purchase order processing, such as utilities, legal, accounting, and other general business expenses.
- Comply with Corporate Compliance, PIPEDA (and provincial privacy acts) and HIPAA responsibilities.
- Meet work standards by following productivity and quality standards established by the company.
- Identify and create improvements to processes to promote efficiency and productivity.
- Perform other duties and special projects as assigned.
Qualifications
- College Diploma, ideally with focus in Finance.
- 2-3 years’ experience in Accounts Payable role.
- Must be knowledgeable in multiple software programs, including, but not limited to:
- SAP, Microsoft Office Suite and Office 365 applications (Word, Excel, Outlook, SharePoint, Teams).
- Strong problem solving and customer service skills.
- Be able to work independently, prioritize work activities and use time efficiently.
- Ability to work well under pressure and or strict deadlines.
