The Business Support Specialist is responsible for the day-to-day management of the front desk operations and provides essential clerical and administrative support across the company. This role serves as the first point of contact for visitors and callers, ensuring a professional and welcoming environment, while also assisting with tasks such as scheduling, data entry, document management, and general office coordination. The ideal candidate is detail-oriented, customer-focused, and able to multitask in a dynamic office setting.


  

Essential Job Functions:

  • Assist HR with running Motor Vehicle Record reports for candidates
  • Facilitating compliance reporting for the sales department’s DBPR licensing
  • Maintain the organizational chart by updating new hires and title changes as well as removing separated employees.
  • Help oversee NSF payments from customers by collecting payment and reporting to Finance.
  • Manage the “no sale” list daily from the DBPR, update VIP and inform sales reps and RAS Manager. Every Wednesday, notify warehouse and sales dept. and post the list in the check-inn room and break room.
  • Gather contact information for new accounts and send out to market managers.
  • Order all office supplies with WB Mason.
  • Order all business cards, note pads, letterhead paper, envelopes, and other stationary with Sir Speedy. 
  • Distribute items left for customers, accounts, or others to pick up (ex. Shirts, tickets, checks, graphic related items, donation pickups, etc.)
  • Manage mail distribution for USPS, Fed Ex, UPS, Amazon and courier service 
  • Provides clerical and administrative support to all employees (print labels, send certified letters, data entry, etc.).
  • Field customer service type calls and route or dispatch as appropriate. 
  • Provide coverage for c-suite when the assigned Executive Assistant is absent.
  • Grant visitor access to the facility via gates and doors.
  • Manage the dissemination of employee beer. 
  • Tracking and reporting new accounts
  • Brand management fulfillment support
  • Pushing pricing reports from Florida posting sites to sales management. 
  • Support warehouse with reporting on weekly pick stats run in iDig + entering daily PO’s + inventory/orders on supplies.
  • Assist with interview scheduling and recruitment assistance when needed. 

Requirements

  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to multitask and prioritize in a fast-paced environment.
  • Friendly and professional demeanor with strong customer service skills.
  • Attention to detail and accuracy in data entry and record keeping.
  • Ability to learn new software or skills as needed.


Qualifications

  • High school diploma or equivalent 
  • 1–2 years of office or administrative experience
  • Familiarity with office equipment (printers, phone systems, copiers)
  • Excellent communication, organizational and assertive skills.
  • Able to handle alcohol


The Physical Requirements:

  • Talk, hear, and see (including close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus)
  • Continuous sitting, standing, and walking.
