Description

Position Overview:  

The Legal Support & Compliance Specialist position plays a crucial role in maintaining client satisfaction and legal compliance by analyzing/auditing attorney case files, ensuring adherence to client guidelines, identifying potential issues before they escalate, and assisting with on-demand attorney and client needs.

This role is intended to proactively support The Firm and its attorneys by identifying and addressing potential file-handling issues before they arise, and requires a resourceful person who can communicate clearly, kindly, and effectively. The right candidate will maintain strong, trusting relationships with attorneys while providing reminders, support, and respectful accountability expectations. A successful team member in this role ensures open lines of communication, encourages and ensures timely task completion, and provides hands-on support to the attorneys for client updates and compliance-related measures, as needed.

Key Responsibilities:

  • Conduct regular audits of attorney case files for guideline compliance, documentation standards, quality handling, responsiveness, and more.
  • Identify, record, and report potential red flags, timeline issues, opportunities for early resolution, or client concerns to mitigate risk and assist in prompt file resolution.
  • Ensure compliance with client-required guidelines, including required deadlines, communications, and document formatting.
  • Complete client reports and status updates as requested by attorneys or clients for review and timely completion.
  • Provide organized reporting and feedback to direct supervisor and Management Committee Senior Partners regarding compliance deviations, case handling concerns, and other potential issues.
  • Track and follow up on key case milestones to ensure timely filings and documentation.
  • Assist in maintaining firmwide high standards and best practices.
  • Occasionally assist with training on compliance-related processes and expectations.
  • Assist with creation of PowerPoint presentations ahead of attorney presentations on an as-needed basis.
  • Assist in keeping internal client handling guidelines, documentation, and reference materials up to date and accurate.
  • Will be required to complete an array of additional tasks and initiatives on an as-needed basis directed by the supervisor and/or Senior Partners related to client relationship management, client-directed projects, quality assurance, and marketing assistance.


Requirements
  • Must have prior experience in CA Workers' Compensation—either as a Claims Examiner (or similar role), or as a Paralegal or Hearing Representative in a defense firm—with full-cycle claim handling experience. Alternatively, candidates who have held a different title within a workers’ compensation defense firm but have performed comparable duties to those outlined in this Description are also encouraged to apply.
  • Must have familiarity with California Workers’ Compensation legal procedures and timelines.
  • Must be able to independently manage a personal calendaring and task management system to track case assignments, deadlines, attorney follow-ups, and other time-sensitive responsibilities.
  • Must have familiarity with client-specific reporting requirements in workers’ compensation claims handling.
  • Must have exceptional attention to detail and organizational skills.
  • Must exhibit strong written and verbal communication skills, with the ability to communicate promptly, respectfully, and effectively.
  • Must have the ability to work independently while collaborating effectively across departments and/or offices.
  • Must have a high level of integrity and discretion when reviewing and documenting file information, and especially when preparing confidential reports for the Management Committee and other members of the Senior Partnership.
  • Proficiency in Microsoft Office (particularly Excel and Word); experience with legal case management systems (e.g., MerusCase) highly preferred.
