We are seeking a detail-oriented and proactive HR & Payroll Specialist to support our Human Resources and Payroll functions. This role is responsible for ensuring accurate and timely payroll processing, maintaining employee records, supporting benefits administration, and assisting with various HR initiatives and compliance activities. The ideal candidate will be highly organized, responsive, and capable of handling sensitive information with discretion.

Essential Job functions/ Duties:

Weekly

  • Approve employee changes in ADP (e.g., direct deposit, W-4)
  • Process timecard corrections submitted via email or messaging platforms.
  • Perform administrative tasks such as copying and mailing garnishment letters or other HR/payroll-related correspondence.

Biweekly

  • Support payroll processing by running timekeeping reports, reviewing exceptions, and identifying errors using templates.
  • Follow up on timecard submissions to ensure timely and accurate entries.
  • Maintain accurate timecards for employees on Leave of Absence (LOA) using a tracking      system.
  • Monitor attendance points and disciplinary levels; draft disciplinary actions as needed.

 

Monthly

  • Assist with benefit invoice processing, validation, and reconciliation; conduct audits to ensure accurate deductions.
  • Coordinate and track the Legacy Program to ensure timely gift delivery.
  • Assign onboarding documents for Carton Plant employees.

Ongoing

  • Support annual events such as the wellness fair, company picnic, and holiday celebrations.
  • Process straightforward LOAs, including designation letters and benefit coordination.
  • Assist with purging outdated I-9 records.
  • Track Open Enrollment participation, send reminders, and support employees with ADP-related questions.
  • Monitor annual compliance training and send reminders to employees.
  • Support the Performance Development Plan (PDP) review and completion process.
  • Assist in creating and updating job descriptions as part of the company’s compensation project.
  • Process employee transfers, including I-9 verification and ADP profile updates.
  • Support fiscal year-end payroll audit requirements, including generating reports and responding to auditor requests.
  • Perform other duties as assigned.

 

 

 

Minimum Qualifications (Education, Certifications/Licenses, and Experience:

  • 4+ years of experience in a similar HR role. 
  • High School diploma 
  • Proficiency with ADP Workforce Now or similar HRIS/payroll systems preferred. 
  • Strong HR Compliance understanding including LOA laws such as FMLA, CFRA, FEHA, PDL, SDI
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with integrity.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
