The Talent Specialist is a key member of the People team responsible for supporting talent engagement and development throughout the employee lifecycle, with a strong emphasis on employee programs, onboarding, and training coordination. This role leads engagement committees, supports new hire integration beyond Day 1, and partners with managers to connect employees to learning opportunities. The Talent Specialist also contributes to recruiting efforts by coordinating candidate sourcing, communications, and interview logistics. In addition, the role manages core HR processes including performance review administration, visa coordination, and onboarding documentation.
Role and Responsibilities
1. Sourcing & Recruiting
- Manage applicant tracking activities, including resume screening, scheduling interviews, and coordinating communications with candidates.
- Source and build pipelines for key roles (including temporary/contractor placements) in partnership with Hiring Managers and external staffing partners.
- Develop and post job ads; maintain accurate records in the ATS.
- Ensure a positive candidate experience by providing timely updates and clear communication.
2. Onboarding
- Facilitate Day 1 (and quarterly) new hire orientation and manage onboarding logistics (technology, access, documentation).
- Support structured 30-, 60-, and 90-day check-ins with new hires and managers.
- Track onboarding progress and work with managers to ensure clear goal setting and integration within the team.
- Maintain onboarding materials and continually recommend improvements.
3. Talent Program & Committee Support
- Serve as committee leader/coordinator for employee programs such as: Buddy Program, Wellness Committee, Volunteer Events
- Help plan and promote employee engagement activities and initiatives in collaboration with HR and internal stakeholders.
- Partner with managers to identify employee training needs and recommend relevant learning opportunities within existing learning management systems (LMS).
4. HR Administration
- Administer and maintain the performance appraisal process and system; ensure timelines are communicated and followed.
- Maintain accurate hiring and onboarding records.
- Serve as a liaison between internal stakeholders and external legal counsel to coordinate visa application paperwork, timelines, and documentation requirements.
- Provide administrative support to the Director of People as needed.
Qualifications, Skills, and Education Requirements
- 2+ years of administrative or coordination experience in HR, talent acquisition, or related field.
- Working knowledge of HR practices, especially in training and onboarding.
- Familiarity with applicant tracking systems (ATS) and Microsoft Office (Outlook, Excel, Word).
- Strong organizational skills, attention to detail, and ability to prioritize tasks.
- Bachelor’s degree in Human Resources, Business, or related field preferred.
