We are seeking a detail-oriented and organized individual to join our team as a Payment Posting Specialist. In this role, you will be responsible for ensuring the timely and accurate posting of patient payments, government and commercial insurance payments, and managing daily deposit processes. You will also assist with account review, deposit reconciliation, and maintaining strong communication with clients and vendors.

Essential Duties & Responsibilities

  • Retrieve Lockbox deposits, ACH details, and Explanation of Benefits (EOBs)/Electronic Remittance Advice (ERA) from sites that do not automatically integrate into the Practice Management System (PMS) from the clearinghouse.
  • Prepare and organize daily deposits for accurate and timely posting.
  • Investigate non-posted payments flagged due to missing EOBs, ensuring timely resolution and accurate payment posting.
  • Process membership write-offs as needed.
  • Assist in escalated account reviews related to payment posting functions.
  • Monitor unposted/unworked items in PMS, ensuring follow-up on outstanding EOBs and cash dates. Identify and resolve payment discrepancies.
  • Accurately post patient, government, and commercial insurance payments to accounts.
  • Ensure all payment postings are completed by end-of-month deadlines.
  • Make necessary corrections in the PMS when required.
  • Conduct refund research and discrepancy resolution.
  • Communicate effectively with clients regarding payment postings and account balances.
  • Reconcile payments with clients, ensuring accuracy and consistency.
  • Maintain in-depth knowledge of assigned accounts to ensure proper payment handling and resolution of inquiries.
  • Respond promptly to posting-related inquiries from clients, vendors, and internal team members.
  • Communicate directly with payers, vendors, and clients to resolve issues or clarify payment details.
  • Run and analyze deposit reports to ensure daily deposits are properly balanced

Other Responsibilities

  • Adhere to all QMC HIPAA privacy policies and procedures. This includes always maintaining the confidentiality and security of sensitive patient information.
  • Ensures consistent adherence to company attendance policies.
  • Performs other related duties as assigned.


Requirements

Education:

  • High school diploma or equivalent

Experience:

  • 1–2 years of experience in medical billing and basic accounting principles preferred but not required.

Knowledge, Skills, Abilities:

  • Strong experience with payment posting, deposit reconciliation, and refund research.
  • Proficiency in using Practice Management Systems (PMS).
  • Ability to navigate various websites efficiently for remittance retrieval.
  • Skilled in 10-key data entry (minimum 10,000 keystrokes per hour).
  • Ability to type at least 35 words per minute (WPM).
  • Proficiency in Microsoft Office, including Excel (basic functions such as adding/removing rows/columns, AutoSum, and copying worksheets).
  • Strong attention to detail and accuracy in financial transactions.
  • Ability to read and interpret Explanation of Benefits (EOBs).
  • Excellent time management and multitasking skills to handle multiple priorities.
  • Strong organizational skills with the ability to meet deadlines.
  • Experience balancing accounts and reconciling payments.
  • Strong communication skills, with the ability to interact effectively with clients, vendors, and internal teams.
  • Ability to maintain confidentiality and handle sensitive financial data with discretion.
  • Capability to work efficiently in a fast-paced environment.
