Salary Range:    $17.00 - $19.00 Hourly

Description

Job Purpose:
To ensure consistency between state and internal records, maintaining compliance for all entities that fall under our Registered Agent purview by invoicing, collecting, and filing all regulatory documents with the 50 state offices. This role involves timely processing of state-required documents, updating entity information, and ensuring client satisfaction.

Key Responsibilities:

Document Filing and Compliance:

  • File state-required documents in a timely manner (2-4 business days).
  • Verify information with clients before filing when necessary.
  • Ensure compliance with federal, state, and local regulations related to entity renewals.

Client Interaction:

  • Update entity information as requested by clients in our CRM software and with the state.
  • Forward delinquency notices and administrative notification documents from the Secretary of State (SOS) to clients.
  • Address complex client inquiries and provide clear, detailed responses.

Administrative Support:

  • Maintain organized records of all filings and entity information.
  • Perform data entry and update entity pages to reflect administrative actions taken by state governments.
  • Liaise with different departments to ensure accurate and timely processing of documents.

Process Improvement:

  • Identify opportunities for improving administrative processes and suggest enhancements.
  • Implement best practices to enhance efficiency, accuracy, and service quality within the team.
  • Educate other departments on renewal processes and compliance when appropriate.

Required Qualifications:

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Excellent computer skills - proficient in Microsoft Office, Salesforce (or similar CRM), and Google Suite of applications.
  • Excellent written communication is required.
  • Outstanding organizational skills.
  • Ability to liaise with different departments when needed.

Preferred Qualifications:

  • Additional certifications or coursework related to compliance or renewal processing.
