The Opportunity

As our Office & Operations Associate you will ensure our day-to-day operations run smoothly by supporting our founders, coordinating office activities, and creating an outstanding experience for visitors and employees alike. You'll be a trusted partner across the business, bringing organisation, attention to detail, and a proactive approach to everything from diary management to office events and investor visits.

Your Responsibilities

Founder Support

  • Manage calendars and scheduling for the founders, ensuring meetings and priorities are coordinated effectively.
  • Arrange domestic and international travel, including flights, accommodation, itineraries, and logistics.
  • Prepare and process expense reports on behalf of the founders.
  • Document management.
  • Check emails and prepare draft responses.

Coordination & Communication

  • Act as a key point of contact for internal teams and external partners, ensuring smooth communication and timely follow-up.
  • Coordinate administrative processes and support cross-functional collaboration across the business.
  • Support meeting preparation and logistics where required.

Office & Team Support

  • Coordinate office events, team activities, and workplace initiatives that contribute to a positive and engaging office environment.
  • Partner closely with the Office Management and Reception teams to ensure our offices operate smoothly.

Visitor Experience

  • Ensure external visitors—including investors, customers, candidates, and partners—receive a professional and welcoming experience.
  • Coordinate with the Office & Facility Team to ensure meeting rooms, catering, visitor access, and logistics are prepared ahead of important meetings.
  • Help ensure high-profile visits run seamlessly from arrival through departure.

Requirements

  • Experience in office coordination, operations, administrative support, or a similar role.
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.
  • Strong communication and interpersonal skills with a customer-service mindset.
  • High level of discretion and professionalism when handling confidential information.
  • A proactive, hands-on approach and a willingness to support wherever needed.
  • Proficiency with Google Workspace or Microsoft Office and common productivity tools.
  • Fluent in both English and German, additional languages are an advantage.
