Position Overview:
Comunale Properties is seeking an Assistant Property Manager / Office Manager to join our growing team. This is a full-time, in-office position. The role requires a highly organized professional who is also willing to travel occasionally to support portfolio operations and team initiatives. The position reports to the Director of Operations.
The Assistant Property Manager / Office Manager plays an important role in keeping both the office and property operations running smoothly. This individual will serve as a key support resource for the team, helping manage day-to-day administrative functions while also assisting with tenant services and property management-related tasks across the portfolio. The ideal candidate is proactive, detail-oriented, and comfortable juggling a variety of responsibilities while maintaining a high level of professionalism and responsiveness.
Customer Service Ambassador
The Assistant Property Manager / Office Manager serves as the front-line representative of the organization, delivering a welcoming, responsive, and solutions-oriented experience for customers, tenants, guests, or clients. This role is responsible for fostering positive relationships, resolving inquiries efficiently, and ensuring every interaction reflects the organization’s values and brand standards.
- Greet and assist customers in person, by phone, and via email in a professional and courteous manner
- Proactively identify opportunities to improve customer satisfaction
- Uphold company policies, procedures, and service standards
Property Management
The Assistant Property Manager / Office Manager serves as the primary liaison between property management and tenants within our commercial real estate portfolio. This role is responsible for delivering a high level of customer service, coordinating building services, and ensuring tenant needs are addressed promptly and professionally. The position supports operational efficiency while fostering positive tenant relationships and retention.
- Monitor shared inboxes and respond to property management requests
- Address tenant, vendor, and client questions and service requests
- Maintain current tenant and vendor contact lists
- Track portfolio data (utilities, compliance testing, HVAC equipment, etc.)
- Enter and track facilities work orders in Asana
- Manage vendor contracts and insurance certificate compliance
- Coordinate recurring property testing (fire, backflow, lender inspections)
- Track tenant move-ins and move-outs
- Maintain digital lease files and property records
- Support tenant and vendor appreciation initiatives across the portfolio
Office Manager
The Assistant Property Manager / Office Manager is responsible for ensuring the efficient day-to-day operation of the office environment. This position provides organizational, administrative, and operational support to the entire team, helping maintain productivity and professional workplace experience.
- Coordinate vendors, service providers, and office maintenance
- Provide meeting support and keep conference rooms organized and ready
- Assist with planning company events (holidays, birthdays, team activities)
- Maintain company files, systems access, and equipment inventory
- Support special projects and administrative needs across the team
- Assist in management of credit card maintenance for the organization
Requirements
- 2 years minimum professional work experience, related field experience is a bonus.
- Professional, respectful, kind and courteous.
- Demonstrates reliability, punctuality and accountability.
- Adaptable with a strong aptitude for learning.
- Excellent communication, organizational, and time management skills.
- Strong multitasking abilities and effective prioritization of work requests.
- Ability to work independently and/or collaboratively.
- Obtain and maintain a notary license; obtaining license can be done subsequent to hiring.

- $60,000 to $80,000 salary (based upon experience) with discretionary bonus
