The Role…

As Executive Assistant to the Chief Communications Officer (CCO), you will provide proactive, professional and highly confidential support to one of the most cross-functional and high-profile functions in the organisation. You will be responsible for managing a dynamic schedule, supporting communication workflows, drafting written materials, coordinating projects, supporting the team and ensuring the CCO operates with maximum efficiency and impact.

This role requires exceptional organisation, strong written and verbal communication skills, and the ability to anticipate needs before they arise. You will work closely with internal teams, external partners, and members of the leadership team, becoming a trusted extension of the CCO.

Main Duties…

Executive Support

  • Provide professional inbox management, drafting, editing and responding to communications as needed in the CCO’s voice.
  • Prioritise CCO’s time against initiatives and deliverables – being on top of deadlines and understanding what is business critical.
  • Manage the CCO’s complex and fast-paced calendar, scheduling internal and external meetings across global time zones.
  • Prepare briefing documents, agendas and materials ahead of meetings; ensure follow-up actions are captured and tracked.

Writing & Communications

  • Draft and edit emails, talking points, internal announcements and written materials on behalf of the CCO.
  • Work closely with the internal Communications teams to be fully proficient in Workvivo and support content workflows and timely approvals.
  • Prepare weekly internal activity and performance reports on behalf of the Media and Marketing functions.

Project & Cross-Functional Coordination

  • Support the CCO on key business projects, including planning, research, tracking timelines, and coordinating with relevant teams.
  • Take ownership of RACI trackers to manage team accountability, working across Comms, Marketing, Creative People, Membership, Operations and C-Suite.

Meetings & Events

  • Organise offsites, workshops, leadership meetings and other engagements for the Communications function.
  • Coordinate logistics, attendee communications, materials and follow-ups.

Travel & Logistics

  • Arrange all domestic and international travel for the CCO and all team members including schedules, visas and detailed itineraries.
  • Manage travel budgets and ensure timely reporting.

Stakeholder Management

  • Build strong relationships with global internal stakeholders and external partners. Manage post meeting correspondence and follow ups as needed.
  • Act as a representative of the CCO, ensuring clear and timely communication.

Administration & Operations

  • Process expenses and complete administrative tasks with accuracy and discretion.
  • Continually assess workflows and systems to drive efficiency in the CCO’s office.
  • Support ad hoc personal or confidential projects as required.

Requirements / Qualifications

  • 5+ years experience as an Executive Assistant or Senior PA supporting senior leadership.
  • A proactive self-starter who anticipates needs and takes ownership without being prompted.
  • Strong written communication skills: articulate, concise, with excellent grammar and editing skills. Able to adapt tone and voice.
  • Highly organised with meticulous attention to detail, and ability to manage multiple priorities with shifting deadlines.
  • Proven experience managing international travel and complex diary/inbox workflows.
  • Proactive, resourceful and able to work independently with sound judgement.
  • High emotional intelligence and tailor communication dependant on the situation.
  • Highly proficient in Microsoft Office (Excel, Word, PowerPoint), Zoom and other productivity tools.
  • Demonstrated project or event coordination experience.
  • Operates with absolute confidentiality, discretion, maturity and professionalism when handling sensitive information.
  • Calm under pressure; thrives in a fast-paced, ever-changing environment.
