PURPOSE OF THE JOB: Provide critical administrative and organizational support to help project managers and ministry leaders execute strategic initiatives with excellence, clarity, and cultural care.

 

I.      EXPERIENCE AND KNOWLEDGE REQUIRED:

  • Strong interpersonal, written, and verbal communication skills
  • Detail-oriented with strong organizational and administrative ability
  • Demonstrated ability to manage and track multiple projects and tasks
  • Proficient in Microsoft Office and task management software (e.g., Basecamp, Asana, Monday.com)
  • Calm under pressure and flexible when priorities shift
  • Capable of upholding discretion and handling confidential information
  • Eager to learn and grow in professional and spiritual maturity
  • Familiarity with Citizen Church values and voice
  • Strong time management and prioritization skills
  • Ability to represent Citizen in a way that glorifies the Lord and aligns with our church culture
  • Project management interest or experience preferred (CAPM certification a plus but not required)

II.     DUTIES:

  • Project Coordination (40%)
    • Assist in the development and maintenance of project timelines, task boards, and tracking sheets
    • Take clear, actionable notes during project meetings and distribute summaries with follow-ups
    • Ensure task owners are aware of deadlines and assist in collecting updates
    • Prepare kickoff meeting materials including agendas, schedules, and communication plans
    • Track minor project deliverables and flag delays or blockers to the Project Manager
    • Archive project materials and lessons learned for future reference
  • Flagship Event Support (30%)
    • Assist with logistical prep for flagship events (volunteer scheduling, vendor research, supply checklists)
    • Track action items across departments for Serve Day, Flourish, Men’s Conference, Rally, etc.
    • Provide on-site coordination during select events (materials, signage, schedules, stakeholders)
    • Gather feedback post-event and organize data for review
  • Administrative Oversight (15%)
    • Maintain organized digital files and documentation for projects
    • Create templates and forms for recurring tasks
    • Support the facilitation of meetings (scheduling, prep, room setup)
    • Assist with departmental reporting and evaluations
    • Coordinate with Finance or other departments on purchases and budget tracking
    • Draft clear communications for internal alignment
  • Communications & Systems (15%)
    • Draft project updates, reports, and reminder emails
    • Help maintain project management platforms (e.g., Basecamp) by organizing tasks and folders
    • Assist in proofreading public-facing materials tied to managed projects
    • Partner with departments to clarify and track requests for support
  • Other
    • Participate in planning meetings for learning and contribution
    • Take ownership of small projects as proficiency grows
    • Occasionally attend services or events outside of normal hours for cultural awareness

 

III.   PHYSICAL DEMANDS:

IV.  SUPERVISORY RESPONSIBILITIES:

  • None initially, but may include oversight of volunteers depending on project

 

WEEKLY SCHEDULE:  40 Hours/Week*

Monday: 9AM - 5PM

Tuesday: 9AM - 5PM

Wednesday: 9AM - 5PM

Thursday: 9AM - 5PM

Friday: OFF

Saturday: OFF

Sunday: 7:30AM - 2:00PM

*Only 38.5 Hours are consistently scheduled to allow for additional flexible hours as the need arises.
