FORT VALLEY STATE UNIVERSITY (FVSU), a state and land-grant institution of the University System of Georgia, invites applications for the position of Records Specialist-VA Certifying Official.

JOB SUMMARY:

This is professional managerial work with primary responsibilities in the Veterans Affairs (VA) and Records area. Work involves primary contact as VA Representative with all students receiving VA benefits, including certification to regional VA office; and preparation of complex, technical and/or confidential reports. Considerable independent judgment is exercised in performance of duties.

ESSENTIAL DUTIES/RESPONSIBILITIES:

  • Assists, as required, in operation of the Registrar's Office as needed
  • Supervises and manages operation of VA program to conform to strictly audited policy of federal agency. Suggest procedural changes as needed. Includes, but is not limited to:
    • Maintain accurate and up-to-date information on the VA processing website (VA ONCE)
    • Provide counseling to prospective VA students regarding all areas of Enrollment Services (admissions, registration, residency, financial aid etc.)
    • Maintain files that meet federal auditing guidelines (electronic and manual) for students receiving VA educational benefits.
    • Daily research of ads, drops, and withdrawals to keep up-to-date records of VA students
    • Prepare VA forms and electronic submission of certifications on a timely basis.
    • Provide constant communication with VA students regarding important dates and policy updates
    • Maintain communication with State Approving Agency and VA Regional Office
  • Assist students with degree programs and transfer evaluations
  • Oversee the military lounge and computer lab for veteran students.
  • Manage student workers. Includes, but not limited to:
    • Create schedules every semester which coordinate with student schedules
    • Submit time sheets in a timely manner to the VA work study regional office
    • Renew VA work study contracts every semester
    • Announce positions and hire new VA work study students as needed
  • Provide support to Registrar by being a support for records problem-solving
  • Perform related tasks as assigned by the Registrar

MINIMUM QUALIFICATIONS

  • Bachelor's Degree preferred with a minimum of 3 years of experience

PREFERRED QUALIFICATIONS

  • Knowledge of the University System of Georgia records and policies and procedures.

KNOWLEDGE REQUIRED BY THE POSITION

  • Considerable knowledge of the principles and practices of office management and the operation of standard office equipment
  • Ability to orient and train others and to explain organizations policies, guidelines, and procedures
  • Keen awareness of confidentiality requirements
  • Some knowledge of research methods and techniques or report preparation
  • Ability to establish and maintain effective working relationships with students, parents, administrators, faculty members, government officials, and general public
  • High standards of ethics, honesty, and integrity in all personal and professions matters
  • Excellent oral and written communication skills and considerable experience in customer relations arena
  • Excellent clerical skills and computer expertise in software applications
  • Experience with Banner Student Information System
  • Computerized basic skills tests – typing (40wpm required) or data entry, MS Word, spelling, and grammar – administered following initial review of all applications.
