About the Department

Under the general direction of the Director of School Improvement & Ed. Leadership, the Specialist provides sub-contract and sub-grantee management services, fiscal tracking, as well as administrative support for effective customer service, and efficient operation, contract management and policy compliance. Additionally, the Specialist independently provides contracted support to clients in creating interconnected data-collecting and reporting systems personalized to program, district, or school needs.

Salary:
The full range for this position is $53,809.60 - $65,478.40. Offers are made at the entry level of the range.

Assignment:
This position will work 8 hours per day, 220 days per year.

Position Duties

Essential Functions:

  1. Manage calendar and identify communications and inquiries for the Director; order supplies, materials and equipment; process travel and reimbursements for programs; maintain department records.
  2. Maintain schedule of grant reporting deadlines and assist in ensuring compliance and reporting as necessary.
  3. Create and maintain data-tracking systems and maintain program data, and independently perform research and data collection projects as requested.
  4. Track and maintain accurate records on all grant participants and ensure prompt and accurate payment of stipends and reimbursements, and provide regular status updates.
  5. Manage all meetings and coursework associated with program grants, including facilitator agreements, clock hour, course enrollment, and necessary participant payment, virtual proctoring and coordinate meeting materials and arrangement.
  6. Create, design, and manage, based on instructor needs, Canvas courses for synchronous and asynchronous learning.
  7. Build and manage webpages for programs with consistent and frequent updates to reflect accurate information to the public.
  8. Manage departmental contracts, both internal and external, and sub-grantee agreements, overseeing agreement development, invoicing and grantee deliverable reporting, ensuring sub-contractors and grantees meet contract requirements.
  9. Provide innovative and creative solutions based on district needs in data-visualization and graphic design for purposes of analysis , data-based decision making, promotion, presentation, and web-design either through Excel, Google Sheets or infographic creation.
Other Functions
  1. Maintain confidentiality, professionalism, and strong service orientated relationships.
  2. Actively contribute to accomplishment of department team goals and success: prioritization of job responsibilities to meet reporting deadlines; ensure cross training to provide departmental support across job assignments; execute support duties.
  3. Represent the department or programs in agency meetings.
  4. Other duties as assigned.

Minimum Qualifications

Minimum Qualifications:

  1. Associate's degree and two years of experience providing administrative support OR a High School diploma or GED and four years of demonstrated experience providing administrative support.
  2. Recent experience in accounting with automated accounting systems, computerized systems and spreadsheet applications.
  3.  Advanced experience using Microsoft Office programs and Google Suite including databases, and formula creations in Excel/Google Sheets.
  4. Experience in working directly with clients to create interconnected data-collecting and reporting systems personalized to program, district, or school needs.
  5. Experience in graphic design, such as Canva, for the purpose of promotion, presentation, data visualization, and Web-design.
  6. Experience designing and maintaining Canvas courses.


Preferred Qualifications: 
  1. Associate's or Bachelor's Degree.
  2. Experience in a K-12 or higher education work environment.
  3. Experience as a trainer or mentor to professional staff.
  4. Experience in a public agency.
  5. Experience designing and maintaining multiple Online Learning Management Systems.

Employment Requirements:
