POSITION: Adult Education Receptionist
Position Summary:
The Receptionist serves as the first point of contact for the Sumter County Adult Education Program, providing professional, courteous, and efficient support to students, staff, and visitors. This role is vital in ensuring smooth office operations and supporting the program’s mission to provide quality lifelong learning opportunities to the adults of Sumter County. In addition to standard receptionist duties, the position is cross-trained to assist with administrative tasks across the program, including supporting instructors and staff with the administration of student assessments.
Reports to: Director of Adult Education
PERFORMANCE RESPONSIBILITIES:
Essential Duties and Responsibilities:
Greet and assist students, staff, and visitors in a friendly and professional manner.
Answer and direct phone calls, emails, and other inquiries to appropriate personnel.
Provide information about Sumter County Adult Education programs, services, schedules, and enrollment procedures.
Assist with student intake, registration, and data entry into student information systems.
Maintain accurate records and files, both digital and physical.
Process incoming and outgoing mail and deliveries.
Monitor attendance sign-in sheets and distribute necessary forms or documents.
Schedule appointments and manage calendars for staff as needed.
Support the coordination of program events, testing sessions, and meetings.
Assist staff with the administration of assessments, including preparing materials, checking in students, and ensuring testing procedures are followed.
Be cross-trained to support other administrative functions as needed within the program.
Maintain a clean, organized, and welcoming front office environment.
Perform other related duties as assigned to support the goals of the Adult Education Program.
Qualifications:
High school diploma or equivalent required; associate degree preferred.
Minimum of three years of clerical or administrative experience, preferably in an educational or office setting.
Strong verbal and written communication skills.
Proficiency in Google and Microsoft Office (Word, Excel) and data entry systems.
Excellent organizational skills and attention to detail.
Ability to handle multiple tasks, prioritize work, and meet deadlines.
Professional demeanor, with strong interpersonal and customer service skills.
Ability to maintain confidentiality and work effectively with adult learners from diverse backgrounds.
Willingness to be cross-trained and assist with additional program responsibilities, including administering assessments.

Working Conditions:
EVALUATION: Performance of this job will be evaluated annually by the Director.
