STATUS: Hourly/Non-Exempt


PAY RANGE: $27.00 - $32.00 Hourly;

ESSENTIAL FUNCTION

The Agency Relations Supervisor holds a pivotal role in overseeing the efficient operations of the Agency Relations department, primarily by directly supervising coordinators and specialists. Responsibilities encompass ensuring seamless workflow, enforcing adherence to policies and procedures, and maintaining high-quality work output from team members. Act as a liaison both internally and externally, representing the department, making recommendations for policy enhancements, and aiding in the implementation of new procedures. 

Additionally, this role involves maintaining accurate databases, ensuring compliance with various regulatory policies such as those from the Los Angeles Regional Food Bank, Feeding America, and TEFAP/USDA, providing technical assistance to agencies, managing customer service, preparing reports, attending meetings and events, and conducting on-site agency monitoring throughout the greater Los Angeles County.


WHAT YOU’LL DO

Agency Relation Liaison and Support: Acts as a liaison with applying agencies concerning details of participation in Food Bank services. Provides customer service to agencies and assists with conflict resolution regarding food pick-ups, ordering, forms, and other paperwork. Provides in-house and on-site technical assistance to prospective and participating agencies, including: Storage and distribution of food picked up from the Food Bank. Proper maintenance of food distribution and food recipient records. Proper adherence to food recipient qualifying requirements as mandated by federal, state, and Food Bank guidelines. Represents the department, internally and externally, as needed. 

Internal Process Maintenance: Updates and maintains pantry list on the LARFB website, referring to agency agreements and DynamicsNAV for accuracy. Updates and maintains the needed information for Agency Express in DynamicsNAV. Runs weekly reports and maintains the current agency/subsite list. Ensures the Agency Relations department and affiliated agencies are compliant with Food Bank, Feeding America, and TEFAP/USDA policies and procedures. Provides information for internal and external data requests. Prepares monthly activity and monitoring reports, including tracking of agency participation and other reports as required. Updates the Agency Relations Manual. Oversees the technical addition of and termination of agencies in the Navision database and other databases.

Team Supervision & Development: Oversees the performance of Agency Relations Coordinators and Specialists, offering essential training, constructive feedback, and guidance as needed. Acts as the point of contact for the team regarding Monitor Report Assignments and Scheduling. Supervises and oversees the Agency Relations Department, ensuring smooth workflow and consistent application of policies, procedures, and practices, including but not limited to scheduling and coordination of staff assignments. Ensures consistent work product and results are obtained successfully from each team member; works with the manager to train and develop team members; may make recommendations for disciplinary action as needed. Travels to various sites throughout Los Angeles County to monitor prospective and participating agencies according to established guidelines. As directed by supervisors, assists/attends departmental activities such as the New Agency Orientations, the Annual All-Agencies Conference, and other meetings. Assists in administrative functions as required. Duties and responsibilities are subject to change based on business needs


QUALIFICATIONS

    • Must work well with little supervision and lead a team.
    • Proficient in Microsoft Office and Google Suite
    • Excellent interpersonal, communication, and customer service skills.
    • Strong presentation skills and ability to create visual presentations using data and reports.
    • Ability to work well with people of diverse backgrounds.
    • Ability to compose and/or edit business correspondence, ensuring well-prepared memos and documents convey accurate meaning before distribution.
    • Ability to work well under pressure and handle multiple tasks with solid deadlines.
    • May be required to work on weekends.
    • Works effectively with other staff members at all levels of responsibility within the Food Bank.
    • Performs other such duties as assigned by the supervisor.
    • Experience with social service organizations is highly desirable
    • 4-year degree in Public Policy Administration, Non-Profit Management, or related field; or BA degree in Business Administration or non-profit management is highly desirable; or High School diploma plus 4 or more years of relevant experience.
    • Two to three years of prior experience in a supervisory role, directly supervising and guiding teams in a professional setting, is highly desirable
    • Bilingual English/Spanish is highly desirable
    • Possess a valid California Driver’s License and have access to a reliable, insured vehicle. Must be able to travel within Los Angeles County as required. Work assignments may include various facilities and hubs across Los Angeles County, including locations in Los Angeles and the City of Industry, CA. Flexibility to commute between Food Bank facilities as needed is essential.
