Position Summary

The Programs Coordinator will be a member of CAF’s National Programs Department and will contribute to CAF’s overall National and Global Program Strategy.

This position’s primary focus is supporting the planning, coordination, and execution of CAF-Idaho Apex and Basecamp Clinics. Secondarily, this position will include a community outreach and partnership development aspect. This role involves managing logistics, coordinating travel, and assisting in the seamless delivery of events to ensure a positive and inclusive experience. The Programs Coordinator will work closely with the Senior Programs Manager, staff, volunteers, and external partners to fulfill CAF’s mission: to provide opportunities and support people with physical disabilities so they can pursue active lifestyles through physical fitness and competitive athletics. Other desired skills include the ability to multi-task, communicate well, and possess good attention to detail. The candidate must be compassionate, friendly and possess warm interpersonal skills to work closely with athletes and their families, adaptive sports organizations, and other third parties as CAF grows it presence and impact in the state of Idaho. 


Essential Job Functions and Accountabilities:


Event Planning & Execution

· Assist the CAF-Idaho Senior Program Manager in planning and organizing Apex and Basecamp Clinics. 

· Coordinate event schedules, including setting timelines and managing resources.

· Create registration pages for participants and volunteers.

· Ensure all necessary permits, waivers, insurance documents, background checks are in place and up to date.

· Oversee on-site event setup, participant registration, and breakdown.


Logistics Coordination

· Arrange transportation, accommodations, and meals for participants, staff, and volunteers.

· Manage inventory of equipment and supplies, ensuring availability and proper maintenance.

· Collaborate with vendors and other third parties as required.


Travel Coordination

· Coordinate with participants regarding travel including flights, ground transportation, and accommodations.

· Coordinate with Idaho Outdoor Fieldhouse staff to arrange facility usage.

· Communicate travel itineraries and ensure accessibility needs are met.


Communication & Collaboration

· Serve as a point of contact for participants, volunteers, and partners, providing timely and clear communication.

· Work closely with Senior Program Manager to address challenges and implement solutions.

· Support outreach efforts to recruit participants and volunteers.


Community Outreach & Partnership Development

· Serve as a proactive liaison between CAF-Idaho and adaptive sports organizations, disability support organizations, healthcare entities, and other community partners across the state.

· Travel throughout Idaho to build and strengthen relationships, increase program visibility, and expand opportunities for individuals with physical disabilities to participate in CAF programming.

· Develop and maintain a database of statewide partners and collaborators to facilitate referrals, program promotion, and coordinated outreach.

· Represent CAF-Idaho at community events, healthcare conferences, adaptive sports competitions, and other relevant gatherings to grow awareness and foster engagement.

· Support strategic initiatives to recruit new athletes and families from diverse regions of Idaho, ensuring programs are accessible and inclusive to communities statewide.

· Collaborate with local organizations to co-host or support clinics, outreach events, and awareness campaigns that further CAF’s mission.


Role in CAF Signature event San Diego Triathlon Challenge (SDTC)

· Help in identification and invitation of new Idaho athletes/families to attend SDTC weekend. 

· Travel to San Diego and complete duties to be assigned throughout SDTC weekend.

· Additional duties as assigned to execute a positive experience for all attending from Idaho.

Requirements

· Knowledge of adaptive sports and experience working with individuals with disabilities.

· Valid driver’s license and ability to drive CAF vehicle.

· Must have own transportation and be willing to travel.

· Available to work evenings and weekends. 

· Must possess excellent communication and interpersonal skills. 

· Must occasionally lift and/or move up to 25 pounds. 


  Experience 

· College Degree (B.S./B.A.) or higher preferred 

· Experience in therapeutic recreation, recreation management, and developing programs for individuals with physical disabilities.

· Experience in program coordination, event planning, or logistics management.


Competencies

· Passion for adaptive sports.

· Strong organizational skills.

· Ability to work collaboratively in a team environment and independently when required.

· High level of proficiency with Microsoft Office Suite. Experience working with a CRM system a plus. Ability to quickly learn new software and technology. 

· Ability to act as a professional representative of CAF both internally to all staff, volunteers, Board Members and externally to JKAF partner, outside donors, fundraisers, suppliers, and all third-party constituents.
