Job Summary
The Pet Support Coordinator provides essential support to both the public and internal teams to support pet retention, compassionate surrender experiences, and lasting adoptions. This role helps pet owners and adopters by offering behavioral and medical support through consultations before shelter intake and after adoption, and by creating programs that nurture the human–animal bond. Additionally, this role ensures an environment of compassionate and respectful animal care in accordance with HSPPR's mission and values.
Key Duties and Responsibilities
- Answer incoming calls and emails from the public regarding behavior, transfer, surrender, and general animal care questions.
- Provides accurate information and referrals to internal and community resources to support pet retention and responsible ownership.
- Perform pre-adoption and post-adoption consultations to promote successful placements.
- Assists with owner surrenders by reviewing appointments and making follow-up phone calls prior to appointments. Provides consultations to help owners explore alternatives to relinquishment and prepare them for the intake process if surrender is necessary.
- Appropriately documents observed animal behaviors utilizing objective language as required in relevant procedures and/or policies.
- Maintain appropriate recordkeeping of animals daily, including location, current status, and placement decision.
- Develops and maintains Standard Operating Procedures (SOPs) accordingly.
- Executes safety protocols for staff and volunteers to ensure consistent humane treatment and handling of animals.
- Coordinates with other key staff to determine service goals, plans, and timelines.
- Support Population Coordinators by reviewing animal records, applying behavior and pathway planning knowledge to determine appropriate movement and placement decisions (e.g., adoption, behavior evaluation, surgery, transfer, or euthanasia)
- Assists in developing and implementing Individualized Enrichment Plans for dogs and cats.
- Assists with the functions of other Population Coordinators' duties as needed.
- Assists with performing behavior assessments and behavior modification sessions as needed.
Relationships
- Works directly with the Shelter, Behavior, Veterinary Services, and Animal Law Enforcement teams, to determine appropriate behavior and medical candidates for adoption, both current and potential.
- Works to anticipate and resolve conflict and promote open communication between volunteers, staff, and management. Solicits volunteer and employee input regarding their work and workplace.
- Supports staff and volunteers; provide quality services to clients, volunteers, and employees recognizing their individual contributions to the success of our organization.
Communication
- Communicates effectively with staff so pertinent parties are informed of potential issues/information.
- Documents staff and volunteer complaints. Assists to handle complaints and/or concerns from, or about, volunteers with professionalism and good judgment. Involves Behavior Manager as necessary.
- Communicates with and provides regular feedback and/or coaching to volunteers in a professional and timely manner.
Customer Service
- Informs Management of developments that may affect HSPPR or the department including department progress, media exposure, public image, client concerns, and personnel issues.
- Supports staff and volunteers; provide quality services to clients, volunteers, and employees, recognizing their individual contributions to the success of our organization.
Other
- Commitment to the mission, values, goals, and success of HSPPR.

Physical Demands
- Regularly sits at computer station, often in a shared office environment.
- The employee must regularly lift and/or move 25 or more pounds of moving weight and occasionally lift and/or move up to 40 or more pounds of moving weight.
- Occasionally required to climb or balance, stoop, kneel, crouch, crawl, and smell.
- Regularly required to sit, reach with hands and arms, talk, hear, and is frequently required to stand and walk. May be expected to be on feet for extended periods of time.
- Must be able to use both hands and arms to grip, pull and push utilizing safety equipment such as, but not limited to catch poles, snappy snares, leashes, ropes, muzzles.
- Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision and depth perception.
- Must handle various animals of various sizes, may include aggressive animals and potential exposure to zoonotic diseases.
- Regularly exposed to noise and potential exposure to hazardous weather conditions.
- Potential exposure to cleaning supplies and/or other substances containing toxic or caustic chemicals.
Schedule Requirements
- Schedule may include weekend and holiday work.
Education/Experience Necessary
- Minimum of two years of directly related experience in a sheltering environment or equivalent experience preferred.
- Six months of customer service experience required.
- Animal training, behavior, and basic medical knowledge, including theory of positive reinforcement and temperament testing desired.
- Experience working with volunteers or previous experience as a volunteer preferred.
- Possess excellent communication and organizational skills. Must be detail oriented.
- Experience working in an animal welfare organization preferred, animal handling experience a plus.
- Excellent interpersonal and team building skills.
- Positive attitude and professional demeanor.
- Proficient in Microsoft Office software, Chameleon, Dialpad, general data entry and reporting recommended.
