General Description
This position provides skilled assistance to the Region 1 office, staff and members. Work is performed within established guidelines and procedures. Incumbent must exercise independent judgment and initiative and discretion in the dissemination of sensitive information. The position provides logistical support to the Regional Conference, administrative support to Regional Management, and other duties as assigned which require exercising independent judgment and initiative with minimal supervision.
Duties and Responsibilities
Incumbent may perform any combination of the tasks listed below:
- Composes and prepares correspondence for staff and leadership from drafts, notes and/or network.
- Edits reports and correspondence for style and correct English usage, grammar, punctuation and spelling.
- Represents the CTA and provides assistance to members and chapter leaders requesting Association services, benefits and programs.
- Answers the telephone and responds to inquiries from the public, members and staff as appropriate.
- Makes timely referrals to appropriate staff and/or ensures inquiries receive a response in absence of persons to whom assigned.
- Compiles information and creates/maintains databases, using current technology.
- Schedules appointments and travel arrangements, as requested, and maintains office calendars.
- Arranges and prepares for meetings and workshops and performs other required logistics.
- Assists Service Center Council, CTA and NEA elected leadership in the Association’s governance operation as directed through assigned UniServ staff.
- Coordinates and organizes the flow of information between CTA and their local affiliates.
- Plans, coordinates and follows through on large, complex logistical projects assigned including the regional conference.
- Attends, arranges and prepares for meetings and workshops and performs necessary logistics.
- Provides assistance to other CTA departments through Regional Management in coordination of CTA programs.
- Opens and processes mail including electronically transmitted materials.
- Establishes and maintains files and records.
- Edits to final form minutes of meetings.
- Performs other appropriate duties as assigned.
Functions Unique to This Position
- Performs logistical functions for the annual Regional Leadership Conference.
- Provides administrative support to Regional Management.
Qualifications - Minimum Required
- Bachelor's degree or Associate degree & 2 years relevant experience or High School diploma/GED & 5 years relevant experience.
- Knowledge of CTA's organization and its administrative and policy-making bodies.
- Ability to function effectively under considerable pressure and solve complex office problems independently.
- Demonstrated ability to exercise planning, coordinating and follow-through skills as applied to large complex logistical projects.
- Ability to prioritize multiple projects and adapt to changes in priorities.
- Ability to work cooperatively with fellow employees in a complex interdependent organization structure.
- Ability to work cooperatively with leadership and management.
- Ability to learn and communicate CTA structure, policies, and procedures.
- Ability to communicate clearly verbally and in writing.
- Proficient word processing skills with minimum keyboarding speed of 55 wpm.
- Proficiency in the use of computer technology and the ability to learn and use the Association's software programs.
- Ability to travel as needed.
- Ability to work overtime as needed.
*This position is in a bargaining unit represented by CAS. Salaries are established by a collective bargaining agreement. Step placement is also determined by the CTA/CAS Agreement.
