Summary:

The Proposal Coordinator is responsible coordinating all phases of the proposal process in response to U.S. and International Government agency’s Requests for Proposals (RFP/RFQ/ITB/IFB/RFIs). The Proposal Coordinator’s primary focus is to develop clear, compelling, and compliant proposal submissions. The successful candidate will have an opportunity to both support and learn from a talented and experienced bid team. Qualified candidates should have strong writing and organizational skills, a collaborative demeanor, and attention to detail that supports our delivery of winning proposals.

Core Responsibilities:

·        Analyze request for Proposals (RFPs), produce a high-level summary and quickly provide a snapshot to all involved departments on the proposal requirements.

·        Ensure the collection and execution of required forms and documents as required.

·        Remain fully informed of solicitation requirements and ensure compliance deadlines.

·        Updating proposal schedules, including establishing master schedule, milestones, managing adjustments to schedules, and ensuring on-time delivery of a fully compliant proposal.

·        Assist with the development targeted questions to obtain critical proposal information.

·        Communicate proposal requirements with and obtain updates from assigned team members.

·        Develop collaborative relationships with sales team and stakeholders, build rapport to collaborate on bid review, Go/No Go and proposal processes to achieve new business goals.

·        Ensure a complete and compliant proposal by leveraging current boilerplate content.

·        Maintain re-use libraries and ensure accuracy of current boilerplate content.

·        Support proposal response schedule and engage in proposal management processes.      

·        Review and analyze Solicitation and related documents, ensuring final proposal product is compliant and delivered on schedule.

·        Ensure the printing, packaging, and shipping of proposals as required.

·        Review and edit materials for compliance, messaging, completeness, and correct grammar and formatting.

Requirements

Qualifications Requirements:

·        Proposal management, writing or editing experience is required.

·        Experience with Government RFP (Request for Proposal) preferred.

·        Excellent communication (verbal and written) and organizational skills.

·        Proficient in the use of Microsoft Office Suite, Adobe Pro, and emerging AI tools

·        Experience with professional writing techniques and best practices.

·        Experience working with shared leadership in a cross-functional team.

·        Ability to manage multiple projects simultaneously while prioritizing timelines.

·        Ability to work within a team environment as well as independently.

·        Highly organized and detail-oriented team player.

·        Strong communication and time management skills.

Education Requirements:

·        Bachelor’s degree in marketing, business communications, or equivalent from an accredited university is preferred.
