SUMMARY
The Senior Manager of Meetings and Events will be responsible for planning and executing high-profile groups turned over by the Group Sales team, along with assisting with the financial reporting for the department. They will oversee coordination of all aspects of contractual agreements including room blocks, food and beverage and special concessions. They will work closely with various operating departments to ensure smooth execution of all onsite details and maintain strong relationships with clients to encourage repeat business. They will also work closely with the Director of Meetings & Events on department forecasting, budgeting and revenue analyses to be reviewed by Hotel Leadership.
ESSENTIAL FUNCTIONS
Major areas of responsibility/ management include, but are not limited to:
Develop relationships with all incoming groups and clients to ensure clear communication of planning deadlines, revenue requirements and hotel offerings.
Provide clients with the resources needed to effectively plan meetings and events while encouraging increased food and beverage and misc. spend beyond contracted revenues
Keep up with current event trends to provide creative setups, menus, and programming to clients
Track room block performance, routing instructions and guestroom-related concessions to ensure accurate onsite reporting and post-event billing
Detail and distribute accurate group information to operating departments via Banquet Event Orders and Group Resumes in a timely manner
Participate in regularly-scheduled operations meetings to ensure pertinent information, changes and pop-up details are communicated as needed
Foster strong relationships and effectively communicate with all hotel departments so that they are set up for success at all times
Liaise onsite between clients and operating departments to ensure smooth program execution and overall success for planners, clients and attendees
Adapt well to unexpected challenges onsite and offer creative problem-solving solutions to turn around the group or guest experience
Offer post-event meetings to discuss feedback, review billing and facilitate potential rebooking
Act as a mentor to fellow Meetings & Events team members
Participate in weekly pace and monthly 30/60/90 forecast reporting with a goal of 90% accuracy
Additional reporting duties as assigned by Director of Meetings & Events
QUALIFICATIONS
Previous Catering or Event Operating experience strongly preferred
Luxury hotel experience strongly preferred
Previous forecasting experience preferred
Familiarity with food and beverage basics, menu planning and private/group event coordination
Ability to effectively communicate with guests, management, and co-workers
Knowledge of current event trends
Computer proficiency and ability to work with Delphi, Opera, Excel and Microsoft Office prograsm
PHYSICAL REQUIREMENTS
Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems. Must be able to sit at a desk for up to 6 hours per day. Walking and standing are required the rest of the working day. Length of time of these tasks may vary from day to day and task to task. Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates; use of these senses will occur on a constant basis.
The pay scale for the Senior Meetings & Events Manager will be $80,000 to $90,000. The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
