Description

Job Summary: 

The Office Manager is responsible for the day-to-day management of the office, completing daily assignments, overseeing vendor relationships, providing general hospitality services to clients and guests. Including administrative support duties to the office. The position is supervised by the Vice President, Human Resources.  

 

 

Supervisory Responsibilities: 

This position has no direct supervisory responsibilities. 

 

 

Duties/Responsibilities: 

  • Daily walk-throughs of the office space to ensure cleanliness and organization. 

  • Manage inventory of office supplies and place orders when supplies are low. 

  • Ensure conference rooms for clients and workspaces for guests are prepared for use. 

  • Schedule and coordinate meetings set up within the office, including arranging catering orders. 

  • Serve as primary customer service contact for vendors, visitors, work orders, and custodial needs. 

  • Answer phone calls, emails, inquiries, and messages about the office. 

  • Maintains relationships with vendors that provide services and goods to the office. 

  • Planning and coordination of events both on and off site. 

  • Manage the distribution of mail/packages, along with tracking orders, posting mail with travel to postal service locations as needed.  

  • Oversee upkeep of office equipment and arrange for regular maintenance with vendors. 

  • Provide back-up support as needed. 

  • Oversee the management of the service center. 

  • Performs other related duties as assigned.

  • Excellent verbal and written communication skills.  

  • Excellent interpersonal and customer service skills. 

  • Excellent organizational skills and attention to detail. 

  • Excellent time management skills with a proven ability to meet deadlines. 

 

 

 

Education and Experience: 

  • High school diploma or equivalent required with a minimum of two years or related experience. 

  • Experience with Microsoft office. 

 

 

 

Physical Requirements: 

  • Frequent walking, standing, and stooping, standing, walking  

  • Ability to lift up to 15lbs.
