We are looking for an Occupational Health Administrative Assistant. This position provides support with the Occupational Health processes and maintains personnel data as it relates to injuries, random drug screening, pre-employment testing, and Occupational Health administrative support. Ensures compliance with various state, local and federal labor laws.

What you’ll be doing:
- Administers various Occupational Health Plans and processes including coordinating pre-employment screening, providing accident/incident reporting and treatment forms, processes report only injuries, and drug screening.
- Provides administrative support to the Occupational Health Nurse Case Managers & Director such as answering calls, taking notes, updating forms, and documenting processes or procedures.
- Welcomes, greets, and responds to and resolves associate questions and issues. Escalates as needed.
- Reviews and processes complex invoices.
- Reviews Occupational Health questionnaires and screening results through ServiceNow and the DISA systems.
- Reviews return to work notes and other documentation, communicates to the appropriate stakeholders, makes entries into Cority and uploads pertinent information to the associate file within expected timelines.
- Assists in Wellness Fairs and supports other company sponsored initiatives including flu shots.
- Performs other related duties, tasks and special projects as required
What we’re looking for:
Education
- GED or High School required
Experience
- Ability to use Microsoft Office suite and Internet software
- Prior Healthcare experience and/or service experience
Knowledge
- Knowledge of federal and state employment laws and requirements that relate to occupational health practices.
- Excellent verbal and written communication skills with ability to effectively communicate with all levels within the organization, with agencies and vendors.
- Excellent organizational skills with ability to handle multiple priorities, meet demanding deadlines and adjust to sudden changes in workflow.
- Excellent analytical skills with the ability to think independently, take corrective action, and to resolve employee inquiries and requests for information
- Ability to manage and administer a broad range of tasks including counseling managers and employees on the interpretation of policies, procedures
- Ability to deal with problems involving several variables in a variety of situations.
- Ability to maintain all job-related information in a confidential and private manner.
- Ability to work extended hours may be required to meet deadlines, handle unusual workloads or to accomplish organizational priorities
Essential Physical Requirements:
- Ability to read, analyze and interpret written information such as procedure manuals, Company communications or governmental regulations.
- Ability to frequently use hands to finger, handle or feel.
- Ability to Travel may be required between locations and to attend off-site training, meetings and seminars.
- Ability to sit for prolonged periods in one location which may be restricted to the employee’s workstation.
- Ability to occasionally lift and/or move up to 50 pounds.
