Passero Associates’ Albany, NY office is seeking an organized and detail-oriented Sr. Project Coordinator to support our team in planning, executing, and finalizing projects according to deadlines and within budget. The ideal candidate will be a proactive communicator who thrives in a fast-paced environment and can manage multiple priorities effectively. This position will support the Northeast Aviation Services Department, focusing on a wide range of aviation-focused planning and site development projects. This position will work closely with project managers and cross-functional teams to ensure projects run smoothly from initiation to completion. This includes coordinating schedules, tracking deliverables, maintaining documentation, and facilitating communication among internal and external stakeholders. The ideal candidate will help identify potential roadblocks and ensure all parties remain aligned on project goals and timelines.

 

Responsibilities:

  • Coordinate project activities, resources and information across teams
  • Schedule and organize meetings, prepare agendas and document minutes and action items
  • Track project progress, milestone and deadlines
  • Maintain comprehensive project documentation and ensure files are organized and accessible
  • Communicate project status updates to project managers
  • Identify risks and issues, escalating to project managers when appropriate
  • Coordinate the project bid process, including preparation of bid tabulations and award recommendation letters.
  • Support construction administration services with Project Managers, including reviewing shop drawings, responding to contractor RFIs, reviewing pay applications, and managing construction observation and materials testing team members.
  • Assist with scope and fee proposals, prepare project work plans, monitor project schedules, monthly invoices, and track project budgets and team performance.
  • Assist with solicitation of disadvantaged, minority and women owned business enterprises (D-W-MBE) to meet agency and project goals.
  • Provide clear communication with internal and external team members, clients, and governing authorities.
  • Assist with the preparation of multi-year CIP for airport clients.
  • Work with an interdisciplinary team of engineers, architects, and planners to plan, design, and oversee construction of a variety of capital improvement projects.
  • Assist with grants administration of CIP projects with governing agencies.
  • Support quality assurance standards.

 

Qualifications/Experience:

  • Bachelor’s degree in business, communication, or related field, or equivalent experience
  • 10+ years in project coordination or administrative role in the construction environment.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks and adapt to changing priorities.
  • Problem-solving mindset with a proactive approach.
  • Experience working collaboratively in team environment.
  • Aviation experience is desirable, not required.
  • Ability to coordinate the project bid process.
  • Valid driver’s license and personal vehicle.
  • Ability to obtain Airport Security Identification Display Area (SIDA) Badge required, including Federal Background Check (with clear record).

Base salary starting at $75,000.
