SUMMARY
The Bookkeeper is responsible for maintaining accurate financial records for both the marina operations and selecting executive-related accounts. This role oversees daily bookkeeping functions, reconciliations, and reporting to ensure accuracy, timeliness, and compliance. In addition to managing business transactions for the marina, the position also includes confidential financial recordkeeping and personal expense tracking for the CEO, requiring the highest level of professionalism, discretion, and organizational excellence.
RESPONSIBILITIES AND DUTIES include the following:
Marina Accounting Duties:
- Record and reconcile all marina-related financial transactions, including sales, dock rentals, fuel sales, inventory, and vendor invoices.
- Maintain the general ledger, prepare journal entries, and complete monthly bank reconciliations.
- Process accounts payable and receivable in a timely and accurate manner.
- Monitor cash flow, prepare monthly financial statements, and support budget preparation.
- Coordinate with the marina manager and external CPA to ensure accurate reporting and compliance.
- Track and process employee reimbursements, petty cash, and operational expenses.
- Maintain documentation for audits, tax filings, and insurance renewals.
Personal Bookkeeping & Financial Recordkeeping:
- Manage personal and household expense tracking for the CEO and his mother.
- Reconcile personal bank, credit card, and investment accounts.
- Organize and categorize expenses for tax and reporting purposes.
- Track payments related to medical care, household services, and personal purchases.
- Prepare reports summarizing spending, budgets, and upcoming payments.
- Coordinate with personal financial advisors, accountants, and vendors as directed.
- Maintain detailed, organized records while upholding strict confidentiality standards.
SUPERVISORY RESPONSIBILITY:
This position has no supervisory requirements.
WORK ENVIRONMENT:
Office-based with infrequent on-site or virtual meetings.
TRAVEL:
No travel is expected for this position.
QUALIFICATIONS:
- QuickBooks experience
- 2 to 4 years of bookkeeping, accounting or finance experience
- Exceptional attention to detail and accuracy.
- Strong organizational and time-management skills.
- Excellent judgment and discretion with confidential financial information.
- Ability to manage multiple sets of books (business and personal) simultaneously.
- Effective communication skills with executives, vendors, and professionals.

- Microsoft Office proficiency
