Position Overview

We are seeking a proactive and detail-oriented Construction Project Assistant or Junior Construction Project Assistant to support all phases of our construction projects, from bidding and planning to execution and closeout. This role is critical in managing project documentation, coordinating with subcontractors, handling material procurement, and ensuring smooth administrative workflows. The ideal candidate will demonstrate strong organizational skills, sound judgment, and the ability to thrive in a fast-paced environment. Entry-level candidates with a passion for learning and growth are encouraged to apply, as training will be provided to develop competency in all responsibilities. This position works in the office headquarters, five days per week

Key Responsibilities

  • Bidding & Pre-Construction: Independently manage subcontractor bid solicitation using a variety of construction software, evaluate subcontractors, research market conditions, and prioritize tasks based on project schedules.
  • Project Start-Up & Planning: Coordinate project start-up meetings, prepare comprehensive Superpacks (including bonds, insurance, and mall handbook requirements), manage Vista system tasks (subcontracts, purchase orders, change orders), and oversee site logistics.
  • Project Execution & Control: Ensure compliance with company policies and contracts, maintain submittal tracking systems, respond to inquiries from stakeholders, coordinate material procurement, and manage project files.
  • Quality Control & Risk Management: Review contract compliance, track project risks, and manage quality control documentation with independent judgment.
  • Project Completion & Closeout: Coordinate wrap-up meetings, manage closeout processes (including contract-required items, documentation, and landlord refunds), and oversee warranty and punch list completion.
  • Financial Administration: Review project costs, verify invoice accuracy, reconcile financial documentation, and manage change order processes.
  • Reporting & Documentation: Develop and maintain tracking systems for closeout status, mall deposit refunds, and warranty logs; update standard documents and manage administrative processes.
  • Additional Duties: Design forms for Project Managers, support accounting research, verify billing accuracy, manage warranty responses, provide front desk support, and handle cross-departmental tasks as assigned.

  • Team Collaboration: Support Project Managers, accounting, field teams, and executives to enhance team effectiveness.

Qualifications

  • For Experienced Candidates: Proven experience in construction project administration or a related field; proficiency with ProjectSight, Vista, or similar project management software is a plus.
  • For Junior Candidates: Entry-level candidates with a strong desire to learn and grow in the construction industry; training will be provided.
  • Education: High school diploma required; associate’s or bachelor’s degree in construction management, business, or a related field preferred.
  • Skills: Strong organizational, communication, and analytical skills; ability to multitask and prioritize effectively.
